What do gym members contact customer service about?
Gym and studio members write about four things above all: their bookings, their membership status, their dues and getting through the door. That is a large audience: the Health & Fitness Association counted 81 million Americans with a fitness facility membership in 2025, plus day-pass and guest visitors that took total users past 100 million. The table shows which conversations an AI agent can close and which belong with your club staff.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Book, cancel or join the waitlist for a class | Yes, inside your booking window and late-cancel rules | A member disputes a late-cancel or no-show fee above the amount Agent may waive | Class schedule, booking record, credit balance, late-cancel policy |
| Freeze or pause a membership | Yes, for standard freezes within your minimum and maximum length | Medical freezes that need a note reviewed, or a freeze longer than the contract allows | Contract terms, freeze history, next billing date, freeze fee |
| Cancel a membership | Yes: confirms the terms, processes or submits the cancellation and sends written confirmation | The member asks for a person, disputes an early termination fee or the contract needs a manager decision | Contract type, notice period, last billing date, home club state or country |
| Failed or declined dues payment | Yes: explains the failed charge and sends a secure link to update the card | Collections, chargebacks or a member who says the charge is wrong | Billing history, retry schedule, past-due balance |
| Charged after cancelling, or charged twice | Yes, for a clear duplicate within the refund cap | Anything above the cap or older than your review window | Cancellation record, payment history, refund permissions |
| Guest passes and day passes | Yes, per tier and per-visit limits | Under-18 guests, a guest without a signed waiver, or a banned guest | Guest allowance, visit log, waiver status |
| Access to other clubs or a tier upgrade | Yes: explains which clubs the tier covers and quotes the upgrade | A one-off access exception or a club that is closed for refit | Tier rules, club list, current pricing |
| App check-in or key fob not working | Yes: reissues a digital pass and walks through app fixes | The member is locked out at the door now (alert that club's front desk) | Access credential status, app account, home club |
| Personal training sessions and packages | Yes: shows sessions left, books or moves sessions | Package refunds, trainer complaints or changes to a training plan | Package balance, trainer calendar, package terms |
| Injury, health or medical questions | No. It does not advise on exercise, injury or nutrition | Always, at once, to the club manager on duty | Club and time of the incident, if the member shares them |

What does an AI procedure for gym cancellations and freezes look like?
Membership changes are the conversation that matters most, because a member who can't leave cleanly becomes a chargeback, a review or a regulator complaint. Write the procedure so leaving takes one conversation, then let Agent turn each line into steps tied to your club management system.
Example procedure: freeze or cancel a membership
- Identify the member. Match the email or phone number to a member record and confirm the home club. If two records match, ask for the membership number; never ask for card details.
- Ask what they want, once. "Would you like to cancel, or pause your membership instead?" If they say cancel, go straight to step 4. Do not repeat the question.
- Freeze. Apply a freeze of 1 to 3 months (Example) at the published freeze fee, state the restart date and the first charge after it, and send it in writing. Medical freezes beyond 3 months go to the membership services lead with the request attached.
- Cancel. Read the contract terms from the record: notice period, final billing date and any fee the contract states. Tell the member each one in plain words, process the cancellation, and email a confirmation with a reference number the same minute.
- No obstacles. Agent never requires a visit, a phone call, a letter or a printed form to cancel, and never asks why before it acts. One optional exit survey question comes after confirmation.
- Escalate if the member disputes a fee, mentions a move, disability or medical reason that your contract or local law treats differently, uses words such as "chargeback", "attorney general" or "lawyer", or asks for a person. The membership services lead gets the record and what Agent already did.
Example conversation (app chat; member and club invented)
Member: Hi, I need to cancel. I'm moving to Denver next month.
Agent: Sorry to see you go, Priya. Your Riverside membership has a 30-day notice period, so your last charge is $49 on November 1 and your access ends November 30. Would you like me to cancel now, or pause instead?
Member: Cancel please.
Agent: Done. Your cancellation reference is CX-48213 and a confirmation is on its way to your email. Because you mentioned a move, I've also asked our membership team to check whether your contract lets us waive that last charge. They'll reply here by tomorrow.
Agent cancelled in one exchange and passed the relocation question, which depends on the contract and local rules, to a person.
What guardrails does a gym AI agent need?
The two rules that matter most: never make cancelling hard, and never act as a coach or clinician. Regulators are watching the first one closely. In August 2025 the FTC sued the operators of LA Fitness, alleging that members could cancel only in person or by mail, and the agency's business guidance on the case sets out what it expects of membership businesses. California's AB 2863 requires online cancellation for members who signed up online, for contracts made or renewed from July 1, 2025, and the UK government's subscription contracts regime, expected in spring 2027, says that anyone who can sign up online must be able to exit online.
What Agent must never do
- Stall, loop or bury a cancellation behind repeated offers. One alternative, then the cancellation.
- Give exercise, injury, medical or nutrition advice, or tell a member a class is safe for a condition or a pregnancy. It points them to your trainers and their doctor and hands off.
- Ask for a full card number or security code in chat or SMS. Card updates go through a secure payment link.
- Waive an early termination fee, refund above its cap, or promise a relocation or medical exception your contract doesn't state.
- Share a member's visit history, check-in times or home club with anyone else, including someone claiming to be a partner or parent.
- Send marketing texts about promotions or rejoin offers. Replies in a thread the member started are service messages; promotional texts need the consent described in the FCC guidance on calls and texts.
What triggers a handoff
Injury and incident words ("fell", "hurt", "chest pain", "ambulance"), harassment or safety reports about another member or staff, legal and chargeback language, fee disputes, anger that persists after a fix, and minors. The handoff carries the member record, the contract terms Agent read and the steps it already took.
Data handling
Every step maps to a connector with explicit, revocable permissions, so Agent can read contracts without being able to change prices. Keep health screening answers and freeze notes out of chat history where you can, and treat fingerprint or face scans used for club entry as biometric data with its own state rules. Aftersales offers a GDPR data processing agreement and US-only hosting (see security); you remain responsible for meeting the consumer and privacy laws where your clubs operate.
Which channels should a gym automate first?
Start with chat in your member app and website, then SMS. Members manage bookings on their phones, often minutes before a class.
- In-app and web chat on the schedule, membership and billing pages, where questions about late-cancel fees and freezes start.
- SMS to each club's number for "stuck on the waitlist", "running late for spin" and failed-payment replies.
- Email for cancellation and freeze confirmations, which members keep as proof, and for annual renewal notices.
- Instagram and Facebook DMs, where prospects ask about class passes, trial offers and opening hours.
- WhatsApp for clubs in tourist areas or outside the US, where members expect it.
- Phone. Front desks still take calls during the 6 am rush. On Growth and Scale, calls land in the same Inbox with warm and cold transfers and per-brand numbers, so a desk can pass a billing call to the central team.
What systems does a gym AI agent connect to?
Your club management system comes first, because it holds contracts, dues, freezes and check-ins. Aftersales connects to it and to the systems below through the Aftersales API or webhooks; confirm specific connectors on a call.
- Club or studio management system: member record, contract terms, freeze and cancel actions, billing history.
- Class booking and scheduling: timetable, capacity, waitlists, credits and late-cancel fees, if it is separate from the management system.
- Payments: Stripe for capped refunds where dues or class packs are billed through it; otherwise your billing provider through the API.
- Access control: digital pass and key fob status, so Agent can reissue a pass or tell a club's desk that a member is stuck at the gate.
- Sales and leads: tour requests and trial sign-ups sent by webhook, or to Salesforce if your membership sales team works there.
- Retail: if you sell apparel or supplements through Shopify, Agent can verify those orders and create replacements.
- Knowledge: club hours, holiday timetables, tier rules, guest policy and contract summaries in one Knowledge source, per club.
How much does AI customer service cost for a gym chain?
For the eight-club operator below, the total is $2,058 a month on annual billing. Seats cover your people; Agent is paid per conversation it resolves, and the ones it hands to staff cost nothing extra.
Assumptions (Example):
- Eight clubs under one brand with gym floor, group classes and personal training.
- A central member services team of three plus one billing specialist: four Growth seats.
- Eight club managers who approve exceptions on free Lite seats (Growth includes 20).
- 3,000 written conversations a month across app chat, SMS, email and social DMs.
- Agent resolves 60% (1,800), below the Aftersales median of 71% after 90 days, because injuries, fee disputes and medical freezes always go to people.
| Item | Calculation | Per month |
|---|---|---|
| Growth seats | 4 × $69 | $276.00 |
| Agent resolutions | 1,800 × $0.99 | $1,782.00 |
| Lite seats for 8 club managers | Included | $0.00 |
| Conversations Agent hands off | Not charged | $0.00 |
| Total | $2,058.00 |
List prices checked October 2026. Monthly billing adds 20% to seat prices. Front desk phone time and the Copilot add-on ($29 per rep per month, annual) are not included.
An Agent resolution is counted once per conversation, so a member who freezes, rebooks a class and asks about guest passes in one chat costs $0.99. A single studio can start on the Free plan with one seat and its first 50 Agent resolutions free. See pricing.
How do you roll out an AI agent at a gym in 30 days?
Go live by early December so procedures are proven before January, the month new joiners and resolution-driven questions arrive together.
- Days 1 to 7: connect the club management and booking systems, load each club's hours, tier rules and contract summaries into Knowledge, and have your membership lead sign off the cancellation wording.
- Days 8 to 14: staff test with past member messages (personal details removed), then switch on app chat for class bookings, hours and guest passes at one club.
- Days 15 to 21: add freezes, cancellations and failed payments with refund caps, turn on SMS, and enable Monitors (Growth and up) to score every conversation, with daily review of each cancellation thread.
- Days 22 to 30: extend to every club, add social DMs, and compare resolution rate, handoff reasons and cost per conversation by club in Insights.
Count only conversations that were truly finished (the resolution rate guide explains how), and set up the people side with helpdesk software for gyms.
