What do restaurant guests contact customer service about?
Restaurant guests contact you to get a table, fix an order, plan a group meal or use a gift card. A few messages, such as a guest describing an allergic reaction, must never be answered by automation. With nearly 75% of restaurant traffic now off-premises according to the National Restaurant Association, takeout and delivery problems share the queue with reservation questions.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Book, change or cancel a reservation | Yes, within your party-size and booking rules | Large parties, fee or deposit waivers, or a full night | Availability, guest profile, deposit and cancellation policy |
| Hours, menus, parking and holiday service | Yes | Off-menu requests or policy exceptions | Per-location hours, holiday schedule, current menus |
| Allergen and dietary questions | Shares your written allergen information; never calls a dish safe | Severe allergy, celiac disease, cross-contact, or any request for a guarantee | Allergen matrix by location, manager on duty |
| Problem with an order from your own website or app | Yes, inside a refund cap | Above the cap, a repeat complaint, or an allergen mix-up | Order, items, fulfilling location, refund permissions |
| Problem with a third-party delivery app order | Explains the app's refund route and logs the miss | A safety issue the restaurant must answer | App order number, location |
| Catering inquiry or order change | Quotes published packages, minimums and lead times; collects the brief | Custom menus, large headcounts, contracts or changes after the cutoff | Catering menu, delivery zones, order cutoff |
| Private dining and buyouts | Checks room availability; collects date, headcount and budget | Always, before minimums, deposits or contracts | Event spaces, availability calendar |
| Gift card balance, missing e-gift card, bonus card terms | Yes, via a secure balance page; resends e-gifts to the buyer | Lost or stolen cards, disputes, suspected fraud | Gift card program lookup, e-gift order |
| Feedback or a complaint after a visit | Thanks the guest and collects visit details | Any complaint about food, staff or a bill, or a request for compensation | Location, visit date, reservation or check |
| Guest says they got sick after eating | No. Escalates in the first reply | Always, immediately | Location, visit date, dishes, food safety lead |
Example scope. Set thresholds and caps to your own policies.
Gift cards follow federal rules. Under the CFPB's gift card rule in Regulation E, store gift card funds generally can't expire within five years of issue or last load, but promotional cards are excluded when the card front says so and shows the expiration date. Holiday bonus cards are where guests mix the two up, so Agent quotes the printed terms and passes disputes to a person.
What does an AI procedure for restaurant order problems look like?
Start with orders placed on your own website or app, where you hold the order and the payment. Agent turns each line of this brief into steps tied to your ordering system.
Example procedure: missing, wrong or late takeout and delivery orders
- Find the order. Match the guest's phone or email to an order from the last 48 hours. For delivery app orders, explain that the app handles refunds, then log the miss for the location.
- Screen for safety first. If the message mentions a reaction, swelling, trouble breathing, an epinephrine injector, or an allergen the guest flagged on the order, stop. Send your approved safety message (Example: "If anyone is having trouble breathing, call 911 now.") and escalate to the manager on duty and the food safety lead.
- Confirm what went wrong: missing, wrong, late, cold or spilled. Ask for a photo only on orders over $75 (Example), never for a missing item.
- Fix it inside the cap. Refund the item price or add a credit to the next order. Agent may refund up to $40 per order (Example), once per guest in 30 days, plus the delivery fee when a delivery arrived more than 30 minutes late.
- Write back the amount, and post the miss to the location's Slack channel so the expo station sees it during service.
- Escalate above the cap, on a third complaint in 90 days, when anger persists after the fix, or on words such as "lawyer", "health department" or "chargeback".
Example conversation (web chat; guest and location invented)
Guest: Just picked up an order for Mei at Elm Street. We're missing the garlic noodles and got a lemonade instead of an iced tea.
Agent: Sorry about that, Mei. I can see your 6:10 pm order. I've refunded $12.25 to the card you paid with: $8.50 for the noodles and $3.75 for the iced tea.
Guest: Thanks. My son has a peanut allergy. Are the noodles cooked in peanut oil?
Agent: I can't confirm whether a dish is free of an allergen, so I've asked the Elm Street manager to check with the kitchen and reply here. Until they do, please don't rely on this chat for allergen information.
What guardrails does a restaurant AI agent need?
A restaurant AI agent can fix orders and move bookings, but it must never make a safety promise. A CDC report on restaurant food allergy practices found that nearly half of fatal food allergy reactions over a 13-year period were caused by food from a restaurant or other food service establishment.
What Agent must never do
- Call a dish allergen-free or safe for someone with an allergy or celiac disease. It can share your written allergen information, which the 2022 FDA Food Code calls on establishments to give consumers in writing (where a state or local jurisdiction has adopted that edition) for major food allergens used as ingredients in unpackaged food (sesame is now the ninth).
- Give medical advice, suggest what caused an illness, or admit fault. It records the visit, dishes and timing; your food safety lead decides next steps, including any contact with the health department.
- Ask for a full card number, security code or gift card PIN in chat or SMS.
- Waive a deposit, no-show fee or event minimum, or refund above its cap.
- Send promotional texts. Marketing texts generally need prior consent under the rules summarized in the FCC's guidance on calls and texts; check your texting program with counsel.
What triggers a handoff
Allergy and reaction keywords (your culinary director owns the list), illness words such as "sick" or "food poisoning", legal language, anger that survives a fix, VIP tags, and catering or event requests above your value threshold. The manager gets the conversation, the order or booking and what Agent already tried.
Data handling
Allergy and dietary notes on guest profiles, illness reports and party-size or occasion tags are the sensitive fields. Let Agent read allergy notes only to route a handoff, never to quote them back, and give it read access to reservations before it can cancel any. Local food safety and privacy rules remain your group's responsibility; on the Aftersales side, a GDPR data processing agreement and US-only hosting are in place (see security).
Which channels should restaurants automate first?
Automate web chat and SMS first, then social DMs. Keep people on the phones during service, but route calls into the same queue.
- Web chat on menu, location and ordering pages, where guests check hours and allergen guides and report a problem minutes after pickup.
- SMS, where guests text a location's number with "running 15 minutes late" or "can we add two more?"
- Social DMs, where guests ask about tables, patios and events.
- Email for catering, private dining and gift card receipts; WhatsApp for locations with international visitors.
- Phone. On Growth and Scale, calls join the same Inbox with warm and cold transfers; per-brand numbers keep each concept's calls apart, so a host can pass a buyout call to the events manager.
What systems does a restaurant AI agent connect to?
Your reservation platform and your ordering and point-of-sale systems come first, because they hold the bookings, orders and payments Agent acts on. Aftersales links to each through its API or webhooks; ask us to confirm specific connectors on a call.
- Reservation and waitlist platform: availability, guest tags, deposit rules and booking write-back.
- Point of sale and online ordering: order lookup, items and modifiers, location, and refunds or credits inside your caps.
- Payments: Stripe for capped refunds if online orders or event deposits run through it.
- Catering and events: leads sent by webhook to your catering system, or to Salesforce if your sales team works there.
- Online shop: if you sell sauces or gift boxes through Shopify, Agent can verify those orders and create replacements.
- Knowledge: hours, menus, allergen matrices and policies for every location in one Knowledge source. Chains with 20 or more locations must provide written nutrition information on request under the FDA's menu labeling requirements, so store it there too.
How much does AI customer service cost for a restaurant group?
For the six-location group below, the total is $1,761 a month on annual billing. You pay for seats and for conversations Agent resolves; the ones it hands to your team cost nothing extra.
Assumptions (Example):
- Six locations under one brand, with dine-in, takeout, delivery and catering.
- Three guest services agents plus a catering and events manager: four Growth seats.
- Six general managers who review escalations on free Lite seats (Growth includes 20).
- 2,500 written conversations a month across chat, SMS, email and social DMs.
- Agent resolves 60% (1,500), below the Aftersales median of 71% after 90 days, because allergen, illness, catering and event conversations always go to people.
| Item | Calculation | Per month |
|---|---|---|
| Growth seats | 4 × $69 | $276.00 |
| Agent resolutions | 1,500 × $0.99 | $1,485.00 |
| Lite seats for 6 general managers | Included | $0.00 |
| Conversations Agent hands off | Not charged | $0.00 |
| Total | $1,761.00 |
List prices checked October 2026. Monthly billing raises seat prices by 20%. Written conversations only; the Copilot add-on ($29 per rep per month, annual) is not included.
A single restaurant can start on the Free plan: one seat, live chat and email, and the first 50 Agent resolutions at no charge. See pricing.
How do you roll out an AI agent across restaurant locations in 30 days?
Pilot one location, prove the procedures there, then copy them to the rest. Finish at least a month before your busiest holiday.
- Days 1 to 7: connect reservations and ordering, load Knowledge for every location, and have your culinary director sign off the allergen wording and safety message.
- Days 8 to 14: staff play guests using past messages with personal details removed, then go live on web chat at the pilot location for hours, menus and bookings.
- Days 15 to 21: add order problems with the refund cap, gift cards, SMS and social DMs, and switch on Monitors (Growth and up) so every conversation gets a quality score.
- Days 22 to 30: copy procedures to every location, extend to after-close hours, and compare resolution rate, handoff reasons and cost per conversation by location in Insights.
Count only conversations that were truly solved (the resolution rate guide sets out the method), and set up your human team with helpdesk software for restaurants.
