What do students and parents contact a university about?
Mostly status questions whose answer already sits in a campus system: is my application complete, why can't I register, where is my aid. Agent can finish those once it can read the right records. Decisions, advice and anything about a student's wellbeing go to staff.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Application status and missing documents | Yes | The applicant asks about the decision itself, an appeal or a fee waiver outside policy | Application checklist, items received, deadlines from your admissions CRM |
| Admission requirements, deadlines and programs | Yes, from published policy | A question turns on how a specific transcript or transfer credit will be evaluated | Catalog, admissions pages, deadline calendar |
| Campus visits, tours and information sessions | Yes | Group visits, or accessibility needs your visit team arranges in person | Event calendar and capacity |
| Financial aid status | Yes, status only | Any question about which aid to accept, loan choices, appeals or special circumstances | Aid file status, outstanding verification documents, disbursement dates |
| Tuition bills, payment plans and refund timing | Yes, within bursar rules | Disputes, hardship requests, or an adjustment above your limit | Account balance, due dates, payment plan eligibility |
| Registration holds and add/drop deadlines | Yes: explains each hold and routes it | Conduct or dean's holds, and any request for a registration override | Holds by type, registration window, term calendar |
| Transcripts and enrollment verification | Yes | A records hold, or a name change that needs documents reviewed | Order status, holds, records office procedures |
| Password resets, MFA and SSO access | Partly: checks account status and sends the self-service reset | Lost MFA device, a suspected compromised account, or anything needing an ID check by IT | Account status from your identity provider |
| Housing applications, assignments and move-in | Yes, for status and dates | Roommate conflicts, accommodation requests, safety concerns | Housing application status, assignment, move-in schedule |
| Parent and family questions | General policy, yes; anything about a specific student only with consent | No written consent on file covering that record | Consent flags from your student information system |
Prospective students, current students and parents arrive in the same channels but have different rights to information, so the last row matters as much as the first. The university helpdesk guide covers how staff queues pick up each handoff.
What does an AI procedure for a registration hold look like?
Write it the way you would brief a new enrollment services hire, and Agent turns each line into steps backed by connectors with permissions you can revoke. Registration holds are a good first procedure because one hold can belong to the bursar, financial aid, advising or health records, and students rarely know which.
Example procedure: “I can't register for classes”
- Confirm identity. If the student is signed in to portal chat, use that session. Otherwise ask for the student ID and send a one-time code to the student's university email.
- Look up active holds and the student's registration window in the student information system.
- For each hold, say which office placed it and what clears it:
- Balance hold: give the balance and due date and send the payment link. If the balance is under $3,000 and the student is eligible for this term's payment plan, offer to enroll them; the bursar's rules release the hold once the plan is active.
- Health or immunization record: send the upload link and the office's stated processing time.
- Advising hold: offer three open slots with the assigned advisor.
- Financial aid pending: list the outstanding verification documents and where to upload them. Say nothing about award amounts.
- Never remove a hold or grant a registration override. Override requests go to the registrar's queue with the course, section and reason.
- For conduct, dean's or other holds whose details Agent can't see, name the office, hand off and don't guess at the cause.
- If the registration window opens within 24 hours and a hold can't clear in time, tag the conversation urgent for the office that owns it.
- If the student mentions distress, safety or withdrawing because of a crisis, stop and hand off to the student support team.
Example conversation
- Student: It says I have a hold and my registration window opens tomorrow at 8.
- Agent: I can sort that out. I've sent a code to your university email; please type it here.
- Student: 482913
- Agent: Thanks, Jordan. You have two holds. The bursar placed one for a $1,240 balance due August 15, and you're eligible for the fall payment plan, which splits it into four payments. The other is an advising hold: your advisor has openings at 2:00 or 3:30 today, or 9:00 tomorrow.
- Student: Payment plan, and 3:30 today.
- Agent: Done. The plan is active, with $310 due August 15, so the balance hold lifts. You're booked at 3:30 in the advising center, and that hold clears after the meeting. I've noted your window opens at 8 tomorrow.
What must a university AI agent never do?
It must never give financial aid advice, predict an admission decision or disclose a student's records to someone the student hasn't authorized. Agent reports status and published policy; staff make decisions and give advice, and they receive the conversation, the records Agent looked up and what it already tried.
Agent never
- Tells a student which loan to take, whether to accept an aid offer or how to answer FAFSA questions. Financial advice goes to aid counselors.
- Hints at an admission decision or promises that credit will transfer.
- Discusses grades, balances, aid or schedules with a parent without the student's consent. Under FERPA, rights over education records pass from parents to the student once the student attends a postsecondary institution, at any age.
- Shares directory information for a student who has opted out. The Department of Education's FERPA guidance says that opt-out still applies after the student leaves, unless the student rescinds it.
- Gives immigration or visa advice. International students go to your international student office.
- Changes a grade, a residency classification or academic standing.
Agent always hands off
- Crisis or self-harm language, after sharing your campus emergency number and the 988 Suicide and Crisis Lifeline, to your counseling or dean of students on-call team.
- Appeals of any kind: admission, aid, academic standing.
- Complaints, legal language, and reports of discrimination or harassment.
- Suspected account takeover or phishing.
How student data is handled
Schools in the federal aid programs have agreed to follow the GLBA Safeguards Rule for student financial aid information, as Federal Student Aid explains. Scope Agent's permissions to the fields each procedure needs, so it can see that a verification document is missing without opening tax records. Aftersales offers a GDPR DPA and US hosting, with SSO, SAML and SCIM on Scale. Those controls support your privacy program; they don't make your institution compliant. Have your registrar and counsel approve the consent and identity rules before launch.
Which channels do students and families use to reach a university?
Students write in chat and by text, parents and international families lean on email, phone and WhatsApp, and formal records still travel by email. Plenty of students never walk into an office: in fall 2024, 26.5% of students at degree-granting institutions took all of their courses at a distance, according to NCES.
- Web chat on admissions and aid pages. Prospective students aren't signed in, so Agent sticks to public information until it verifies an applicant.
- Chat inside the student portal or app. The student is already signed in, so Agent knows whose holds and aid file to check.
- SMS. Hold alerts, missing-document nudges and deadline reminders, sent under the texting consent your institution collects.
- Email. Documents, decision letters, transcripts and anything the student needs to keep.
- WhatsApp. Often the easiest channel for international applicants and their families. IIE Open Doors counted 1,177,766 international students at US institutions in 2024/25. Agent replies in 31 languages.
- Phone. Parents call, especially in deposit and move-in season. Aftersales phone on Growth and above includes warm and cold transfers and recording consent.
All of it lands in one shared inbox, so a student who starts in chat and then calls the bursar doesn't repeat the story.
Which campus systems should an AI agent connect to?
Connect the systems your enrollment services staff already open on every call, read-first, with a short list of write actions.
| System | What Agent reads | What Agent may do |
|---|---|---|
| Student information system | Holds, registration window, enrollment status, consent flags | Request a transcript, record a contact |
| Admissions CRM | Application checklist, items received, decision release date | Re-send a portal link, log an inquiry |
| Financial aid system | Aid file status, missing verification documents, disbursement dates | Send the document upload link |
| Student accounts or payment portal | Balance, due dates, payment plan eligibility | Enroll in a payment plan within your limits |
| Identity provider | Account status, lockouts | Send the self-service reset link |
| Housing system | Application, assignment, move-in slot | Book or change a move-in slot |
| Advising and visit scheduling | Open slots | Book, reschedule, cancel |
If your admissions CRM runs on Salesforce, Agent uses the built-in Salesforce connector. Everything else in this table connects through the Aftersales API or webhooks; confirm specific connectors on a call. Stripe fits only where you take payments through it, for example continuing education or summer programs. Workflows can create a Jira issue when login failures cluster after a system change, or post to the registrar's Slack channel when override requests pile up.
How much does AI customer service cost for a university?
You pay for staff seats plus $0.99 for each conversation Agent resolves; conversations it hands to staff cost nothing and Agent never takes a seat.
Example assumptions: a student services center covering admissions, financial aid, the registrar and the bursar; 12 staff seats on Growth; 6,000 conversations in a typical month; Agent resolving 55% at first (below the 71% median Aftersales sees after 90 days, because aid advice and appeals always go to people); Copilot for every seat; annual billing at list prices.
| Line item | Calculation | Monthly cost |
|---|---|---|
| Growth seats | 12 × $69 | $828 |
| Agent resolutions | 3,300 × $0.99 | $3,267 |
| Copilot add-on | 12 × $29 | $348 |
| Conversations handed to staff | 2,700 × $0 | $0 |
| Total | $4,443 |
That is about $0.74 per conversation. In a peak month of 15,000 conversations at the same rate, resolutions rise to 8,250, or $8,167.50, while seats stay at 12. If your IT office requires SSO with SAML and SCIM for staff, price Scale instead: 12 × $109 = $1,308 in seats, or $4,923 in a typical month. Deans and faculty advisors can view, comment and approve from free Lite seats (20 on Growth, 50 on Scale). Every plan is on the pricing page.
How do you roll out an AI agent at a university in 30 days?
Launch in a quiet stretch of the calendar, never in the week before classes start, and widen one office at a time.
- Days 1 to 7: connections and rules. Connect the student information system, identity provider and aid status. The registrar and aid director approve consent checks, banned phrases and escalation words, and you import existing macros as procedures.
- Days 8 to 14: admissions chat. Turn Agent on for requirements, deadlines and checklist status on public admissions pages. Counselors read every handoff and fix procedures the same day.
- Days 15 to 21: student portal. Add registration holds, aid status, password resets and housing dates for signed-in students.
- Days 22 to 30: families and after hours. Open the parent channel with consent checks, add SMS reminders, and extend Agent to evenings and weekends. Review resolution rate by office; Monitors score every conversation, so a missed consent check shows up without sampling.
Track progress with the resolution rate guide, or compare other sectors in AI customer service by industry.
