What do vacation rental guests and owners contact you about?
Guest messages bunch up on arrival day, spike again when something breaks mid-stay, and end with money: cancellations and deposits. Owners write about statements and their own stays.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Arrival details: door code, directions, parking | Yes, after your readiness checks pass | The sender isn't on the booking, or a readiness step is outstanding | Reservation, verification status, the stay's code, arrival guide |
| "The code isn't working" | Partly: keypad steps from the lock guide, then one resend | The guest is still outside after one retry; hand off to on-call | Lock model, lock status, on-call rota |
| Early check-in or late checkout | Yes, within your fee list and turnover rules | The same-day turn isn't marked clean, or an owner stay follows | Calendar, cleaning status, fees |
| How the hot tub, thermostat or TV works; trash day | Yes, from that home's guide | The guide has no answer, or something is broken | Property guide per home |
| Mid-stay breakdown: hot water, AC, Wi-Fi | Partly: runs your checks, then opens a work order | Checks fail, water leaks, the weather is extreme, or a refund is requested | Troubleshooting steps, work orders, vendor rota |
| Safety: smoke or CO alarm, gas, fire, flood, injury | No | Immediately, with only your approved safety message | Address, emergency contacts |
| House rules: guest count, pets, parties, quiet hours | Yes, for the written rule | An exception is requested, a noise sensor alerts or a neighbor complains | House rules, occupancy limit, pet fee |
| Cancellation or date change | Partly: explains the booking's policy and moves direct bookings within it | Off-policy refunds, weather disruption, or platform bookings | Booking channel, rate plan, policy, calendar |
| Damage deposit | Partly: confirms the hold and its release date | Any deduction or disputed charge | Deposit or waiver record, inspection status |
| Owners: payouts, statements, owner stays | Partly: payout dates, and owner holds the agreement allows | Expenses, revenue, rates or the agreement itself | Owner statements, owner calendar rules |
Example scope; set your own boundaries with your operations lead and owner relations manager before launch.
Start Agent on door codes, Wi-Fi, parking, checkout time and trash day, which come up on nearly every stay.
What does an AI check-in procedure for a vacation rental look like?
Automate arrival details first: they repeat on every booking, and a mistake leaves a family on the doorstep. Brief Agent as you would a new guest services hire; each step becomes an action tied to a permission you can switch off.
Example procedure: arrival details and the front door
- Match the booking. Find a stay arriving within three days for the number or email that wrote in. If the sender isn't a listed guest, share nothing about access and hand off.
- Check readiness. Verification done, rental agreement signed, balance paid, deposit hold or damage waiver in place. If a step is missing, send its link and hold the code.
- Time the code. When the guest asks on arrival day, send that stay's code and the arrival guide. Do not release it before the time you set. Never send a master, owner or vendor code.
- Price early arrival from the list. Up to two hours early for $40 if nobody checked out that morning and cleaning is marked complete. Add the fee only after the guest agrees; earlier requests go to a person.
- Retry once. If the code fails, walk through that lock's keypad steps and resend once. Still outside? Hand off to on-call with the property, the guest's name and the lock status, and post an alert to your on-call Slack channel.
- Stop on safety words. Smoke, alarm, gas, fire, water coming in, injury or police: send the approved safety message, hand off to on-call and post to the on-call Slack channel.
Example values. Set your own timing, fees and retry limit.
Example conversation over WhatsApp
Guest: We land early, can we get into Seagrass Cottage at 2 instead of 4?
Agent: Hi Marta. Cleaning finished at 12:40 and nobody checked out today, so 2:00 pm works for a $40 early check-in fee. Reply YES and I'll add it and send your door code.
Guest: YES. Is the hot tub ready? The kids are excited.
Agent: Booked, and your code and arrival guide are on the way. The tub is refilled after every stay and takes several hours to heat after refilling, so it should be warm by evening. Still cold at 8:00 pm? Message me and I'll send a technician.
Guest and property are invented.
What should an AI agent never do with vacation rental guests?
Treat door codes like keys and money like a manager's call. Agent gives no legal or tax advice; exceptions, compensation and site visits go to people.
Agent must never
- Send a code to anyone off the booking, before readiness checks pass, or for another home.
- Reveal the owner's name, another guest's details or an address to someone without a booking there.
- Approve extra guests, pets or events, or go over the occupancy limit on your permit.
- Deduct from a deposit, accuse anyone of damage or refund outside policy. Goodwill credits get a value limit, which can be zero.
- Collect card numbers or ID photos in chat. It sends your secure link instead.
- Quote a nightly rate alone. Since May 12, 2025, the Federal Trade Commission's fees rule has required lodging businesses, vacation rentals included, to give the total price upfront, so set Agent to quote your PMS total with mandatory fees; your own pricing setup remains responsible for compliance.
Hand off at once on
- Smoke or CO alarms, gas, fire, flooding, injury or police. For suspected CO, the message follows CPSC guidance: get out to fresh air immediately, then call 911.
- A lockout that one retry didn't fix.
- Noise sensor alerts, neighbor or HOA complaints, or signs of a party.
- Refund demands, chargebacks, review threats, lawyers, or sentiment that keeps worsening.
- Owner messages about money, rates or the agreement.
Data handling
Let Agent read only the current stay's code, and revoke a connector's permissions the day you change lock systems. Aftersales offers a GDPR data processing agreement and hosts all data in the US. Insights Monitors (Growth and Scale) check every conversation, so you can spot a code sent too early in week one.
Which channels do vacation rental guests message on?
Guests write from their phones, often at the door, so arrival day runs on text.
- SMS. The default for domestic guests; lockouts and broken appliances start here.
- WhatsApp. Many international guests prefer it. Eurostat found that international guests accounted for 62.2% of 2025 guest nights in EU short-term rentals booked via Airbnb, Booking and Expedia. Agent replies in the guest's language, any of 31, from the first message.
- Booking platform messaging. Airbnb, Vrbo and Booking.com threads usually reach you through your PMS; route them into Aftersales with the API or webhooks (confirm the setup on a call). Each platform sets rules: Airbnb's off-platform policy bars hosts from steering bookings or payments off Airbnb, so keep both on the platform.
- Website chat. Direct-booking questions: pets, winter hot tub hours, the total for given dates.
- Email. Confirmations, rental agreements, deposit releases and owner statements.
- Phone. On Growth and Scale it runs through the same Inbox: transfer a stranded guest's call warm or cold to on-call, with recording consent and per-brand numbers.
What systems does vacation rental AI customer service connect to?
Agent needs reservations and the calendar at minimum. Everything below plugs in via the Aftersales API or webhooks, so check the connectors for your exact stack on a call.
| System | What Agent reads or does | How it connects |
|---|---|---|
| Your property management system or channel manager | Reservations, guest details, calendar, quotes with fees, owner holds | Aftersales API or webhooks |
| Your smart lock or access platform | The stay's code, lock battery and online status | Aftersales API or webhooks, often via the PMS |
| Your guest verification and rental agreement tools | Whether verification, agreement and deposit steps are done | Webhook on completion |
| Your operations and cleaning software | Turnover status, inspections, work orders | Aftersales API or webhooks |
| Noise and occupancy sensors | Alerts that hand the stay to on-call | Webhooks; a Workflow posts the alert to Slack |
| Payments on direct bookings | Refunds inside a value limit | Stripe, or another processor through the API |
| Owner statements and trust accounting | Statement dates, payout status | Aftersales API |
Keep each home's guide, house rules, policies and fees in Knowledge, the single source Agent, staff and your help center all read. One guide per home: a lake cabin's hot tub is not a beach condo's.
How much does AI customer service cost a vacation rental manager?
On these assumptions a host with 12 homes pays about $287 a month. A manager with 150 homes pays about $1,972 in a shoulder month and $3,754 in a peak month, because Agent needs no seat, so a busy month raises the resolution count and leaves seat costs unchanged.
| Line item | 12 homes, typical month | 150 homes, shoulder month | 150 homes, peak month |
|---|---|---|---|
| Seats on Growth ($69 per seat/month, annual) | 2 seats: $138 | 8 seats: $552 | 8 seats: $552 |
| Written guest and owner conversations | 250 | 2,000 | 5,000 |
| Resolved by Agent (assumed 60%) at $0.99 | 150: $148.50 | 1,200: $1,188 | 3,000: $2,970 |
| Copilot ($29 per rep/month, annual) | Not added | 8 reps: $232 | 8 reps: $232 |
| Lite seats for field staff and owner managers | Free (up to 20) | Free (up to 20) | Free (up to 20) |
| Monthly total | $286.50 | $1,972 | $3,754 |
| Cost per conversation | About $1.15 | About $0.99 | About $0.75 |
Example only. Aftersales list prices as of October 2026; monthly billing costs 20% more per seat.
The 60% assumption sits below Aftersales' reported 90-day median of 71%, because lockouts, repairs and safety calls always end with a person. Unresolved conversations are free. Zendesk, Salesforce Service Cloud and Freshdesk users can instead run Agent inside their current tool at $0.99 per resolution, subject to a minimum monthly commitment. See pricing for what each plan includes.
How do you launch an AI agent across a rental portfolio in 30 days?
Launch in the quiet season (for most beach and lake markets, before June) with a handful of homes, and widen only after you have read every lockout handoff.
- Days 1-5. Connect the PMS read-only, load one guide per home, write the arrival procedure, and have your operations lead approve the safety message word for word.
- Days 6-12. Turn Agent on for website chat and email on ten homes, for pre-arrival questions, house rules and quotes. Read every conversation each morning.
- Days 13-19. Add SMS and WhatsApp on arrival day, allow code sending after readiness checks, and route failed codes to on-call.
- Days 20-25. Add early check-in and late checkout pricing, mid-stay troubleshooting with work orders, and deposit status.
- Days 26-30. Add owner payout dates and owner holds, extend to every home, and review resolution rate and handoff reasons by property.
A home with an outsized handoff rate usually has a thin guide or a fussy lock. Other sectors are listed under industries.
