Helpdesk software

Real estate customer service software for brokerages

A brokerage inbox fills with leads that belong to particular agents, listings that draw dozens of questions, and deals where buyers, sellers, lenders and title companies all write in at once. Aftersales Inbox gives inside sales, transaction coordinators and agents one queue with routing, SLAs and Copilot drafts, while the AI, Agent, takes routine listing and showing questions. It is one of our helpdesk guides by industry.

Why do generic helpdesks struggle with real estate customer service?

A generic helpdesk files tickets under an email address. Brokerage work is organized around listings, lead ownership and contract deadlines, and much of it happens by text when the office is closed.

  • Two records matter at once. One buyer asks about six homes; one new listing draws questions from forty buyers. Staff need the listing and the person side by side.
  • Leads have owners. Policy decides whether an inquiry goes to the listing agent, the next agent in rotation or the agent a past client knows. A queue that hands work to whoever is free breaks those rules.
  • Conversations live on personal phones. When agents text from their own cells, the brokerage cannot see response times or promises, and the history leaves with the agent.
  • Every deal has many parties. Buyer, seller, two agents, lender, inspector, appraiser and title all write in about one closing, and their questions belong on that transaction.
  • Consistency is a fair housing issue. The Justice Department notes that discrimination can hide in false information about availability, so every inquirer needs the same answer about the same home.
  • Sellers are out of practice. The typical seller had owned the home for 11 years, a record in NAR’s 2025 survey, so expect many process questions.

How should a brokerage set up its customer service inbox?

Build queues around the stages of a deal, route on listing and agent data, and give each queue an owner and a clock. The targets below are examples to adjust, not industry benchmarks.

Routing rules

  • Store listing ID, MLS status, price band, area, assigned agent, deal stage and closing date as custom fields, so they work as filters and columns.
  • Send anything from an existing client to their agent’s view first, whatever the topic.
  • Route listing inquiries by your written policy: listing agent first, or round-robin by area and language (Growth and up).
  • Move any message that mentions a wire, a deposit or new account details to closing funds at top priority.
  • Raise priority on every deal closing within three business days.

This runs in Inbox, with Workflows handling assignment, tags, SLAs and Slack alerts, and Slack side conversations let staff ask the listing agent a question without leaving the thread.

What reply templates do real estate customer service teams need?

Write templates for moments when a client is disappointed or worried about money. Keep facts in placeholders and have the managing broker approve the wording.

Offer not accepted

Hi {first_name}, I’m sorry to tell you the sellers of {address} accepted another offer today. {agent_name} will call you by {callback_time} to explain what we know and whether a backup offer is worth making. In the meantime we’ve set up alerts for new homes that match {search_criteria}.

Appraisal below the contract price

Hi {first_name}, the appraisal for {address} came in at {appraised_value}, under the {contract_price} contract price. Your contract gives you until {deadline} to respond. {agent_name} will call you today to go through the options, and {lender_name} can explain what it means for your loan.

Closing date is moving

Hi {first_name}, your closing on {address} is moving from {old_date} to {new_date} because {reason}. Please check your rate lock with {lender_name} and update your movers and utilities. {coordinator_name} will confirm the new time and place by {confirm_date}.

Client forwards new wiring instructions

Hi {first_name}, thank you for checking with us first. Please don’t send money using the instructions in that email. We never change wiring instructions by email. Call {title_company} at {verified_phone}, the number in your contract, before sending anything. If you have already sent funds, call your bank now and ask it to recall the transfer, then file a report at ic3.gov. {closing_lead} will call you within 15 minutes.

Seller update after slow showings

Hi {first_name}, here is where {address} stands after {days_on_market} days: {showing_count} showings, and buyers have mentioned {feedback_summary}. {agent_name} would like to meet on {meeting_date} to look at recent nearby sales and talk about price and marketing. Nothing changes without your approval.

The wiring template follows the FBI’s advice in its Internet Crime Report: act fast, ask the bank for a recall and report the loss to IC3. Only a trained person should send it.

How should a real estate brokerage staff customer service?

Put inside sales and a showing coordinator in front, coordinators behind them and the managing broker over complaints. Then staff for evenings, weekends and spring.

  • Inside sales or concierge: answers and qualifies new leads and sets appointments, avoiding anything that needs a license.
  • Showing coordinator: confirms, reschedules and fixes access problems while agents drive.
  • Listing and transaction coordinators: keep sellers updated, and own deadlines from accepted offer to closing.
  • Managing broker: complaints, fair housing questions and conversation review, often from a Lite seat.
  • Agents: Lite seats to view, comment and approve; a full seat to reply from the inbox.

Peaks to plan for

  • Evenings and weekends: when people browse listings and tour homes. Run shifts until 8 p.m. and cover Saturday and Sunday.
  • Spring and early summer: listing and showing activity rises in most markets, so hire and train in late winter.
  • New listings and price cuts: a single home can draw a burst of messages on its first weekend.
  • Month end: closings often bunch up, and so do deadline calls to coordinators.
  • Rate moves: a drop in mortgage rates brings buyers back quickly.

Calling leads back has rules too. Under the FTC’s Telemarketing Sales Rule, an inquiry lets you return calls for three months even to numbers on the National Do Not Call Registry, and anyone can ask to join your own do-not-call list; tag those requests so nobody calls again. Insights forecasts volume from your history, and a workforce management tool can build schedules for larger teams.

Where does AI help a real estate support team?

AI takes lookups, first drafts and handoff notes. Agents and coordinators keep negotiation, advice and anything involving money.

  • Cited drafts. Copilot drafts replies that cite the listing record or contract date they came from. Teams using it on every conversation see a 2.4× faster median reply, by Aftersales’ own measurement.
  • Lead summaries. When a lead moves to an agent, a short summary of timeline, areas, price range, pre-approval and preferred contact method goes with it.
  • Translation in 31 languages, including right-to-left scripts, for international and relocating buyers.
  • Monitors (Growth and up) score every conversation on checks such as “never described a neighborhood’s residents” or “never sent account details”. Helio Energy raised quality scores 14 points after Monitors replaced sampling.
  • Agent resolves listing questions, showing bookings and milestone checks on its own; see AI customer service for real estate.

Which customer service metrics should a brokerage track?

Track lead response and deadline metrics next to satisfaction, and set targets from your own baseline.

How do brokerages switch customer service software?

Common starting points are agents’ personal phones, a shared Gmail or Outlook lead inbox, texting inside the CRM, a website chat widget or a general helpdesk.

  1. List every way in: sign and ad numbers, office lines, portal lead addresses, social pages.
  2. Keep the CRM as the record and send conversation events back through webhooks or the Events API.
  3. Map fields such as listing ID, assigned agent, deal stage and closing date, so routing works on day one.
  4. Move history. Most teams finish migration in an afternoon, and Aftersales runs it with you on Growth and Scale.
  5. Rebuild macros from the templates above, approved by the managing broker.
  6. Cut over midweek, away from a big open house weekend, and keep old numbers forwarding for a month.
  7. Or keep your helpdesk: Agent on its own runs inside Zendesk, Freshdesk or Salesforce Service Cloud with no seats or migration, at $0.99 per resolution with a minimum monthly commitment.

Scale adds SSO, SAML and SCIM, and all data is hosted in the US; see security, shared inbox tools compared, Zendesk alternatives and pricing.

Frequently asked questions

What is the best customer service software for a real estate brokerage?
Look for listing and agent fields on every conversation, routing that respects lead ownership, texting and phone in the same queue, and evening coverage. Aftersales covers these with Inbox, Workflows and phone on Growth and Scale; our shared inbox roundup compares others.
Should real estate agents text clients from their personal phones?
Many do, but then the brokerage cannot see response times, promises or fair housing problems. Routing texts through brokerage numbers into a shared inbox keeps one record.
Can agents use the helpdesk without a paid seat?
Yes, for review. Lite seats are free (20 on Growth, 50 on Scale) and allow viewing, commenting, @mentions and approvals. Replying to clients from the inbox needs a full seat.
How fast should a brokerage respond to a new lead?
There is no reliable universal target, and after-hours gaps are the usual problem. Measure speed to first reply by source and hour, and let Agent answer listing questions when no one is on shift.
Can Aftersales record calls with buyers and sellers?
Yes. Phone on Growth and Scale includes recording with a consent step, warm and cold transfers and per-brand numbers. Check your state’s recording consent rules with your managing broker or counsel.
How much does Aftersales cost for a real estate team?
Starter is $24, Growth $69 and Scale $109 per seat a month billed annually, and the Free plan covers one seat. Agent adds $0.99 per resolution, and Lite seats are free.
