What do beauty and skincare customers contact customer service about?
Beauty customers write before they buy as well as after: which shade, which formula, whether an ingredient is in it. After delivery come broken or leaking products, refills and codes, plus a small but serious share of reaction reports.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| "Which shade should I get? I wear 3N elsewhere." | Yes, from your shade data | No mapped equivalent, or they want a live consultation | Shade library (depth, undertone, finish), order history |
| "Is this fragrance-free or vegan?" | Yes, from the label and approved claims | The real question is safety with a skin condition, pregnancy or a medication | Ingredient list per formula version, claims sheet |
| "My skin is burning since I used this" | No, Agent gathers details | Always, straight away | Product, batch code, photos, where it was bought |
| "Where is my order?" | Yes | Delivered but not received, above your reship limit | Order, carrier tracking |
| "It arrived leaking, shattered or melted" | Yes, within limits | Repeat claims, or a value above your limit | Order, SKU, photo, replacement rules |
| "Skip or swap my auto-replenish order" | Yes | Billing disputes or charges the customer does not recognize | Subscription record, next ship date |
| "My creator code didn't work" | Yes, within discount rules | Leaked codes, or questions about a creator's commission | Code terms, code owner, order total |
| "My free gift was missing" | Yes, while it is in stock | The gift sold out and a substitute needs approval | Order, promotion rules, gift stock |
| "Can I return something I've opened?" | Yes, within policy | Outside the window, or the reason is a reaction | Return rules by market, delivery date |
| "Is this expired, or even genuine?" | Partly | Contamination, a broken seal or a suspected counterfeit | Batch code decoder, period-after-opening, authorized retailers |
An example mapping. Where each row lands depends on your policies and systems.
Reaction reports often hide inside return requests, so Agent checks every message for them. Opened returns vary by market: the EU's 14-day withdrawal right excludes sealed goods unsealed after delivery that are unsuitable for return for health or hygiene reasons, so a satisfaction guarantee there is your own policy for Agent to quote. And because no US law requires expiration dates on cosmetics, Agent answers expiry questions from your batch decoder and period-after-opening symbols.
What does an AI procedure for shade matching and exchanges look like?
A wrong-shade procedure finds what was bought, suggests up to two shades and, within your limits, ships the new one with no return.
Example procedure: wrong shade
- Confirm identity by matching the sender's email or phone to the order; if they don't match, ask for the order number and billing ZIP code.
- Find the complexion product and shade, and check delivery was within the last 30 days.
- Ask what looks wrong: too light, too deep, too pink, too yellow, or darker after wear. Never comment on skin conditions.
- Suggest at most two shades from the shade library, one step lighter or deeper in the same undertone or the same depth in another undertone, and say why each fits. Use a cross-brand chart only for shades it lists.
- On a first exchange for that product, with an item price of $48 or less, create a Shopify replacement in the new shade with no return. Otherwise start a standard return.
- If the new shade is out of stock, offer a restock alert or refund the item. Refunds above $60 need a person.
- If the customer mentions stinging, burning, itching, swelling, a rash or eye irritation, stop the exchange, ask for the batch code and a photo if they are willing, and hand off to the safety queue.
- Hand off if the customer asks for a person or is unhappy after two suggestions.
All four values are illustrations to agree with operations and finance.
Example conversation
Illustrative example; not a real customer or order.
Customer: The Skin Tint I got in 4W looks orange on me. I usually wear neutral shades.
Agent: Sorry about that. I found order 7714, delivered nine days ago. 4W has a warm, golden undertone. At the same depth, 4N is neutral, and 3.5N is a little lighter if 4W also looked heavy. Which sounds closer?
Customer: 4N I think.
Agent: As this is your first shade swap on Skin Tint, I've sent 4N free as order 7739, shipping tomorrow. No need to return the 4W, and tracking will arrive by email.
What guardrails does an AI agent need for beauty and skincare brands?
Beauty guardrails set what Agent may say about skin, when it stops, and how it treats photos. In Aftersales you set spend limits, banned phrases, brand voice and escalation on sentiment, keywords, tier or legal language. These settings support your compliance process, which your team still owns.
What Agent must never do
- Give medical advice. Agent should not give medical advice. Suitability for eczema, rosacea, pregnancy, a prescription retinoid or an allergy is for the customer's doctor or pharmacist, and Agent never promises a product won't cause a reaction.
- Diagnose a reaction. Calling a breakout "purging" is a clinical judgment, so Agent hands off.
- Make drug claims. The FDA classes a product as a cosmetic or a drug by its intended use, and acne or hair-regrowth claims point to a drug. Agent quotes approved claims only; ban "cure", "heal" and "treat".
- Trade perks for reviews. The FTC's 2024 rule bans incentives conditioned on a review's sentiment.
What triggers a handoff
- Any reaction report. Rash, burning, stinging, swelling, hives, hair loss, eye irritation, doctor or hospital send the conversation to your safety queue at once, with the transcript, batch code and photos attached. Under MoCRA, the responsible person named on the label must report serious adverse events to the FDA within 15 business days of receiving the report; the EU's Regulation (EC) No 1223/2009 requires serious undesirable effects to be notified without delay, and in Great Britain they go to the Office for Product Safety and Standards.
- Contamination, tampering or counterfeits: an odd smell, separation, mold, a broken seal or an unauthorized seller.
- Creators, press and legal words: partnership requests, journalists, "lawyer", "class action", "chargeback".
Data handling
Treat reaction photos and symptoms as sensitive: limit the safety queue to the people who assess reports, keep photos out of tags and Slack, and verify identity before showing order details. Aftersales offers a GDPR data processing agreement and hosts data in the US (see security and data protection); your processes decide whether you meet your obligations.
Which channels matter most for beauty brand customer service?
Social DMs, product-page chat and email matter most, and all channels share one history.
- Social DMs: shade and code questions after a creator video, and some reaction reports, so keyword screening applies here too.
- Product-page chat: shade and ingredient questions before checkout, where a right answer prevents a wrong-shade order.
- Email and SMS: refill reminders and shipping notices prompt skip, swap and delay requests that Agent handles in the same thread.
- WhatsApp: for brands selling in markets where shoppers send shade photos in daylight from their phone, so Agent can reply in the customer's language, among 31.
- Phone (Growth and up): worth it if you publish a number for reaction reports, with transfers, recording consent and full history.
What systems does a beauty brand's AI agent need to connect to?
A beauty agent needs product knowledge at shade and formula level, order, refill and code data, and a route into your safety records.
- Shopify: Agent verifies orders and creates replacement orders for wrong shades and damaged items.
- Stripe: refunds for out-of-stock replacement shades or missing gifts, inside the $60 limit set in the procedure.
- Product data in Knowledge: shade library, ingredient lists by formula version, period-after-opening and approved claims, one source for Agent, team and help center.
- Subscription billing app: skips, swaps, cadence changes, pauses and cancellations.
- Store or affiliate platform: code terms, owners and end dates.
- Warehouse or 3PL: the batch shipped on each order, for tracing reports and recalls.
- Safety log: a webhook, or a Jira issue created by a workflow, opens a case for each reaction handoff.
- CRM: Salesforce connects directly.
Apart from Shopify, Stripe and Salesforce, systems connect through the Aftersales API or webhooks, each step with explicit, revocable permissions. Confirm specific connectors on a call.
How much does AI customer service cost for a beauty brand?
A direct-to-consumer skincare and makeup brand with 7 reps would pay about $4,725 in a normal month and $7,814 in November for Aftersales, before wages, at list prices.
What the example assumes
- 7 Growth seats ($69 each per month, annual billing), each with Copilot ($29).
- 6,800 conversations a month; 12,000 in November with Black Friday and gift sets.
- Agent resolves 60%, an assumed figure under the 71% median Aftersales reports after 90 days, since reaction reports and most creator questions go to people.
- 5 quality, regulatory and influencer staff on free Lite seats (Growth includes 20).
| Line item | Normal month | November |
|---|---|---|
| Seats (7 × $69) | $483 | $483 |
| Copilot (7 × $29) | $203 | $203 |
| Agent resolutions at $0.99 | 4,080 resolutions: $4,039 | 7,200 resolutions: $7,128 |
| Handed to people | 2,720, no Agent charge | 4,800, no Agent charge |
| Lite seats (5) | $0 | $0 |
| Total software cost | $4,725 | $7,814 |
| Per conversation | $0.69 | $0.65 |
List prices as of October 2026. On monthly billing, seats cost 20% more and Copilot is $35 per rep.
Skipping a refill, swapping a shade and asking about a code in one chat is one resolution, since Agent charges once per conversation. In November only resolution charges rise, while seat count stays at seven; the pricing page lists every plan and add-on.
How do you roll out AI customer service for a beauty brand in 30 days?
Build the safety handoff first, add routine conversations next, and finish before fall launches and holiday gift sets.
- Days 1 to 7: label 90 days of history using the table above, hook up Shopify and the subscription app, and load the shade library, ingredient lists, approved claims, return rules and gift terms into Knowledge. Agree reaction keywords with your safety owner.
- Days 8 to 14: write order status, damage and wrong-shade procedures, and replay past reaction reports to prove each would have been handed off.
- Days 15 to 21: launch on product-page chat and email first, and read every handoff each day.
- Days 22 to 30: add refills, creator codes and social DMs, turn on Monitors, and use Insights' real-time issue detection, with SKU and batch custom fields, to spot spikes such as broken pumps after a packaging change.
Track progress with the resolution rate guide, and see AI for subscription boxes for skip and cancel flows.
