What do subscription box customers contact you about?
Most subscriber messages ask to change the next box or question a charge, and almost all of them depend on one date: the cut-off before the box is billed and packed. The table separates what Agent can finish on its own from what needs a person.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Skip the next box | Yes, up to the cut-off | The box is already charged and packed, or the skip limit is reached | Next charge date, cut-off, skips used |
| Swap a product, flavor, shade or size | Yes, from this cycle's eligible items | Nothing eligible is in stock, or the question is about allergens or a reaction | Swap list, stock, cut-off |
| Change frequency or move the next charge date | Yes | A prepaid plan where the change alters what was paid for | Plan type, prepaid shipments left, allowed intervals |
| Pause for a set period | Yes, within your allowed pause lengths | Longer than policy allows, or this cycle's box is already charged | Pause options, next charge date |
| Change the shipping address | Yes before the cut-off; after it, only if unfulfilled | The box has shipped, or the address is outside your shipping zones | Subscription address, open order, fulfillment status |
| Declined card or failed renewal | Explains the decline, sends your billing app's card-update link and confirms the next retry | Payments keep failing after an update, or the subscriber says the charge wasn't authorized | Charge status, decline reason, retry date |
| "Why was I charged?" | Explains the renewal and plan terms, resends the receipt, refunds an unshipped box within your cap | A bank dispute or chargeback is mentioned, or the refund is above the cap | Charge history, reminders sent, fulfillment status |
| Where is my box, or an item is missing or damaged | Yes: shares tracking (see the WISMO guide) and creates a replacement within your value limit | Above the limit, a third claim in six months, or an injury or spoiled food | Order lines, tracking, photos, claim history |
| Gift subscriptions | Updates the recipient's address and explains when the gift ends | Purchaser and recipient disagree, or a gift refund is requested | Gift order, purchaser, recipient, end date |
| Cancel the subscription | Yes: confirms what ends and when, makes one offer if you allow it, cancels when asked | The subscriber asks for a person, uses legal language or says canceling was hard | Plan terms, offer rules, billing app cancel action |

What does an AI cancellation procedure for a subscription box look like?
Subscribers who write "cancel" often mean "not this month", so one procedure should cover cancel, skip and pause together. The core rule: Agent makes one offer at most, and declining it ends the conversation with a cancellation. Agent turns each line below into steps against your billing app.
Example procedure: a subscriber asks to cancel, skip or pause
- Identify the subscriber. Match the email or phone number to a subscription. From an unknown address, ask for the order number and the account's ZIP code before changing anything.
- Read the account. Next charge date, this cycle's cut-off, whether the current box is charged, packed or shipped, and any prepaid shipments left.
- Ask one optional question. "Can I ask what's prompting this?" Tag the answer; if none comes, carry on.
- Make no more than one offer, matched to the reason, with canceling shown as an equal choice in the same message. Too many boxes: skip one or switch to every other month. Cost: 15% off the next two boxes, never above 20% or two boxes, once per subscriber in 12 months. Didn't like the items: update preferences. Moving: change the address. If the first message says "just cancel", make no offer.
- Cancel on the next reply that declines the offer or repeats the request. Call the billing app's cancel action and never write "canceled" until it returns success.
- Say what happens next and confirm by email: the cancellation date, no further charges, and whether a box already charged will still ship. Charged but not yet packed: refund it in full, up to $60.
- Hand off when the subscriber says they never signed up or didn't authorize a charge, mentions a chargeback, their bank, a lawyer or a state attorney general, wants refunds for delivered boxes, or stays upset after the first reply. If the cancel call fails, hand off with the error attached and promise a person will finish it today.
Example conversation (web chat, names invented)
Subscriber: Hi, I need to cancel. The boxes are piling up and I can't keep up with them.
Agent: I can do that for you, Jordan. Your next Snack Club box charges on March 14. Would every other month suit you better? If not, just say no and I'll cancel it now.
Subscriber: Every other month could work, actually.
Agent: Done. You're now on every other month, and your next box charges on April 14 at $34. I've emailed you the details. If you change your mind, reply "cancel" here or use the cancel button on your account page.
What guardrails does an AI agent need for subscription billing and cancellations?
Cap the money Agent can move, keep canceling as easy as signing up, and hand off anything that sounds like a dispute. Agent should not give legal or medical advice: questions about consumer rights, allergens or a reaction to a product go to people.
What Agent must never do
- Stack offers, ask the subscriber to phone instead, or come back with "are you sure?" after a second cancel request.
- Change a price, plan terms or a renewal date the subscriber didn't ask to change.
- Ask for card numbers in chat; it sends the card-update link from your billing app instead.
- Refund above your cap, or refund a delivered box without a person approving it.
The rules behind these limits
In the US, the Restore Online Shoppers' Confidence Act requires online sellers of recurring plans to get express informed consent and provide simple ways to stop recurring charges, and state automatic renewal laws add rules on retention offers. Have your counsel review the flow; Aftersales gives you the controls, and compliance stays with your business.
What triggers a handoff
Words such as "unauthorized", "never signed up", "chargeback", "my bank", "lawyer" and "attorney general"; negative sentiment after an offer; VIP or annual prepaid subscribers; and a third box issue in six months. The rep gets the thread, billing data and actions Agent tried.
Data handling
Permissions are explicit and revocable for every step. One pattern: Agent reads charges and skips boxes from day one, and earns cancel and refund rights after you review its first week. Agent sends your billing app's card-update link instead of collecting card details in chat. Our security page covers GDPR and US hosting.
Which channels should a subscription box automate first?
Email and chat on the account page carry most change requests. Add SMS if you text charge reminders, keep phone for subscribers who insist on it, and let a subscriber cancel in whichever channel they wrote in.
- Email. Replies to renewal reminders, shipping notices and failed-payment emails land here, and Agent checks which notice the subscriber is answering.
- Chat on the account page. Subscribers open it while looking at their next box, so questions are specific: "can I swap the mango for something else?"
- SMS. Replies to pre-charge texts, like "skip this month", come back in the same thread. Marketing consent stays with your SMS provider.
- Social DMs and WhatsApp. Move public missing-item complaints to a DM.
- Phone. Some subscribers will only cancel by phone. On Growth and Scale, those calls queue in the same Inbox, with recording consent and warm or cold transfers, and the one-offer rule holds there too.
What systems does a subscription box AI agent connect to?
Two systems hold almost everything Agent needs: your store and your subscription billing app.
- Shopify store. A native connection, so Agent can check an order against the subscriber's details and raise a replacement for a damaged or missing box.
- Subscription billing app. Connects through the Aftersales API or webhooks; confirm specific connectors on a call. Recharge-style apps send webhooks for failed charges, maximum retries and upcoming charges (see Recharge's developer docs). With those events flowing in, Agent knows the decline reason and retry date before the subscriber writes.
- Fulfillment and carrier tracking. Pack status and tracking events arrive through the API or webhooks, so Agent knows whether a box can still change.
- Knowledge. This cycle's box contents, swap list, cut-off calendar, allergen labels and policies in one Knowledge source.
How much does AI customer service cost for a subscription box?
For the example box below, a normal month costs $1,820.40 and a December peak $2,850.00 on annual billing. Seats stay flat while resolutions follow volume.
Assumptions (Example):
- 12,000 subscribers on a monthly Shopify box; 2,400 written conversations a month, 4,000 in December with gifts.
- Agent resolves 65% (1,560, or 2,600 in December), below its 90-day median of 71% because disputes and product reactions go to people.
- Four reps on annual Growth seats; the ops manager and founder on free Lite seats.
| Item | Normal month | December |
|---|---|---|
| Growth seats | 4 × $69 = $276.00 | 4 × $69 = $276.00 |
| Agent resolutions | 1,560 × $0.99 = $1,544.40 | 2,600 × $0.99 = $2,574.00 |
| Lite seats for ops manager and founder | $0.00 (20 included on Growth) | $0.00 |
| Handed-off conversations | $0.00 | $0.00 |
| Total | $1,820.40 | $2,850.00 |
List prices checked October 2026. Paying monthly adds 20% to seat prices. Copilot is an optional extra at $29 per rep monthly (annual billing).
A skip, swap, replacement or completed cancellation each counts as one resolution, however many questions the conversation held. Plan details are on pricing, and the Free plan includes your first 50 Agent resolutions on live chat and email, enough to trial tracking questions; use the 14-day free trial to test skips and swaps once your billing app is connected through the API.
How do you roll out an AI agent for a subscription box in 30 days?
Plan the rollout around your billing calendar, so Agent works through one full charge cycle before you rely on it.
- Days 1 to 7: connect Shopify and your billing app, load this cycle's box contents and cut-off dates, and agree offer limits with whoever owns retention and legal review.
- Days 8 to 14: replay last month's charge-day conversations with personal details removed and fix the gaps. Go live on web chat for tracking and skips.
- Days 15 to 21: add swaps, address changes and failed payments on email, and turn on Monitors (Growth) to score every conversation. Cancellations start as read-and-hand-off; grant the cancel permission once your team has reviewed 50 of them.
- Days 22 to 30: put Agent in front for a charge day, review handoff reasons each morning, and check resolution rate and cost per conversation in Insights.
The resolution rate guide sets out how to count resolutions.
