What do staffing agency workers and clients contact you about?
Staffing customers come in two kinds. Workers ask about pay, shifts and paperwork; client companies ask about orders, timesheets and invoices. Agent can resolve most worker questions that only need a lookup, and hands a person anything that changes pay, bank details or an order.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Missing or short pay | Yes, for timesheet and pay-date lookups and filing a correction request | The gap is over 8 hours, it is the second shortfall in 4 weeks, or the worker asks for an off-cycle payment | Worker record, timeclock punches, timesheet approval status, pay calendar |
| Pay stub, payslip or W-2 copy | Yes, after identity is verified | The worker disputes a deduction or asks about tax withholding | Payroll documents, verified mobile number or employee ID |
| Shift details: start time, site address, parking, dress code, PPE | Yes | The site has changed or the client has not confirmed the shift | Assignment record, client site notes |
| Running late or calling off a shift | Yes, logs it and alerts the recruiter and the client contact | It is within 2 hours of start, or it is the worker's third call-off on the assignment | Shift schedule, attendance policy, client contact |
| Timesheet submission or correction | Partly: explains how to submit and flags the error | A correction changes hours already approved by the client | Timekeeping system, approval status |
| Bank details or direct deposit change | No, it sends a link to your secure worker portal | Always, if the worker cannot use the portal | None in chat |
| Onboarding paperwork and background check status | Yes, reports which steps are open | A check comes back with a result the worker wants to discuss | Onboarding checklist, screening status (pass, pending, action needed) |
| Application status and open jobs | Yes, with open roles matched to the candidate's skills and location | The candidate asks why they were not selected | Applicant tracking system, open job orders |
| Client: approve timesheets, copy invoice | Yes | The client disputes billed hours or a rate | Invoices, approved timesheets, client contact list |
| Client: no-show, replacement or extra headcount | Partly: logs the order change and confirms receipt | Always, so a recruiter can staff it; immediately if the order is for today | Job order, assignment roster, account owner |

What does an AI procedure for temp worker pay questions look like?
Missing or short pay is the conversation that defines how workers feel about an agency, and it arrives in a wave every pay day. Below is an example procedure written the way a payroll lead would explain it to a new hire. Agent turns each line into a step, and every step that reads or writes data maps to a connector with permissions you can revoke.
Example procedure: "My pay is wrong or missing"
- Match the worker to your applicant tracking system using the mobile number they are texting from, then ask for their employee ID or date of birth. Do not discuss pay until both match.
- Find the pay period they mean. If they say "last week", confirm the dates and the assignment before going further.
- Check the timesheet. If the client has not approved it, tell the worker it is waiting on approval, send the client approver a reminder through the workflow, and give the worker the payroll cutoff time.
- If the timesheet is approved and pay was issued, share the pay date and net amount from the pay stub and offer a copy of the stub.
- If timeclock punches show more hours than the approved timesheet, and the gap is 8 hours or less, file a pay correction request to payroll with the punches attached and tell the worker which pay run will include it.
- Hand off to payroll when the gap is more than 8 hours, when this is the worker's second shortfall in 4 weeks, or when the worker asks for an off-cycle payment. Never promise an off-cycle payment or a specific amount that payroll has not confirmed.
- Hand off with high priority if the worker says they cannot cover rent, food or travel to work, or mentions a lawyer, a wage claim or a tribunal.
Example conversation (SMS)
Worker: my check is short this week, i worked saturday
Agent: Sorry about that. To check your pay I need to confirm it's you: please reply with your employee ID.
Worker: 40213
Agent: Thanks. Your timesheet for the warehouse assignment, week ending last Sunday, shows 32 approved hours. Your clock-in records show 6 more hours on Saturday that weren't on the approved timesheet. I've sent a correction request to payroll with your punches attached. If the client confirms the hours by Wednesday at noon, they'll be in Friday's pay.
Worker: ok thank you
Agent: You're welcome. I'll text you here when payroll confirms.
What guardrails does a staffing agency AI agent need?
A staffing agent talks to two audiences that must never see each other's data, about pay, safety and hiring decisions that carry legal weight. Set the limits before go-live and review them with your payroll lead and compliance owner.
What Agent must never do
- Change pay rates, bank details or tax withholding, or promise an amount or date payroll has not confirmed.
- Tell a worker the client's bill rate or markup, or tell a client a worker's pay rate, home address or screening result.
- Give legal, tax or financial advice, such as whether a worker should claim a deduction or whether they count as an employee. It hands these questions to a person.
- Explain why a candidate was not selected. Those answers come from a recruiter.
What triggers an immediate handoff
- Injuries and unsafe sites. In the US the agency and the host employer share responsibility for a temporary worker's safety, according to OSHA's temporary worker guidance. Keywords such as hurt, injured, accident or unsafe route to your safety lead at once.
- Discrimination or harassment. The EEOC's guidance on contingent workers says a staffing firm must take corrective action if it learns a client has discriminated against one of its workers. A complaint, or a client asking for workers of a particular age, sex or background, goes to a person.
- Pay disputes beyond your limits. In the UK, an agency cannot withhold pay because the hirer is unhappy with the worker's performance, as GOV.UK's agency worker pay guidance sets out. Escalation rules on legal language (tribunal, claim, solicitor, lawyer) catch these.
- Negative sentiment that persists across two messages, or any message from a client account you have tagged as key.
Data handling
Give Agent read access to the fields each step needs, not the whole worker file. Keep identity documents, right-to-work evidence and full screening reports out of reach. Aftersales offers a GDPR DPA and hosts data in the US, with SSO, SAML and SCIM on the Scale plan. Your own compliance with employment law remains your responsibility.
Which channels do temporary workers and clients use?
SMS comes first, because most temporary workers are on their feet at a site, not at a desk, and many have no work email. Shift reminders, call-offs and pay questions all happen by text, and Agent answers them in the same thread.
- SMS and WhatsApp for workers. WhatsApp matters where your workforce has family abroad or prefers it to SMS, and Agent replies in the language of the first message, across 31 languages.
- Phone for early-morning call-offs before your branch opens. Phone with warm and cold transfers comes with Growth and up, with a separate number per brand if you run several agency brands.
- Web chat on your job board and careers pages, where candidates ask about application status and open roles.
- Email for clients: timesheet approvals, invoice copies and order changes. Large accounts can use Slack Connect.
Which staffing systems does an AI agent connect to?
A staffing agency runs on a front office that knows people and orders, and a back office that knows hours, pay and invoices. Agent needs read access to both, and write access only where a step takes an action.
- Your applicant tracking system or staffing CRM: candidates, workers, assignments, job orders, client contacts. If your front office is built on Salesforce, Agent uses the Salesforce connector; otherwise it connects through the Aftersales API or webhooks.
- Your time and attendance system: clock-in punches, timesheets and client approval status.
- Your payroll and billing back office: pay calendar, pay stubs, year-end tax forms, invoices.
- Your onboarding and screening tools: paperwork checklists and background check status, read as a status only.
- Vendor management systems that large clients use to issue orders and approve time.
Each of these connects through the Aftersales API or webhooks; confirm specific connectors on a call. Slack and Jira connect natively, so a payroll correction can post to your payroll channel or open a Jira issue for the back-office team.
How much does AI customer service cost for a staffing agency?
For a regional agency, expect around $3,000 in a normal month and about $4,500 in the fourth-quarter peak, using the assumptions below and list prices.
Assumptions (example, not a customer)
- About 1,500 workers on assignment each week and 40 client accounts.
- 5,000 conversations in a normal month, 8,000 in the busiest holiday month.
- Agent resolves 50% of conversations, below the 71% median Aftersales reports after 90 days, because bank changes, injuries and order changes always go to people.
- 8 recruiter and payroll seats on Growth at $69 per seat a month, billed annually.
| Line item | Normal month | Peak month |
|---|---|---|
| Growth seats (8 x $69) | $552 | $552 |
| Agent resolutions at $0.99 | 2,500 = $2,475 | 4,000 = $3,960 |
| Total | $3,027 | $4,512 |
| Cost per conversation | $0.61 | $0.56 |
List prices checked October 2026. Conversations Agent hands off are not charged, and Agent never needs a seat.
Branch managers can join as free Lite seats (20 on Growth) to approve exceptions. Copilot for the 8 seats adds $232 a month at $29 per rep. If your recruiters already work in Zendesk, Salesforce Service Cloud or Freshdesk, Agent can run inside that helpdesk for $0.99 per resolution with a minimum monthly commitment. See pricing for every plan.
How do you roll out an AI agent at a staffing agency in 30 days?
- Days 1 to 7: connect and read. Connect your ATS, timekeeping and payroll data through the API, import your pay calendar, attendance policy and site notes into Knowledge, and pull the last three pay weeks of texts and emails to see which questions repeat.
- Days 8 to 14: write procedures. Write the missing-pay, shift-details and call-off procedures in plain language, set the 8-hour correction limit, and add escalation keywords for injuries, harassment and legal language. Test them against real past conversations.
- Days 15 to 21: go live with workers on one branch. Turn Agent on for SMS at one branch, avoiding the week before a holiday peak. Review every handoff daily with the branch manager.
- Days 22 to 30: add clients and the next branches. Add timesheet reminders and invoice copies for clients, extend to more branches, and track resolution rate and cost per conversation in Insights.
