Why do generic helpdesks struggle with staffing agency customer service?
Generic helpdesks assume one kind of customer who writes from an email address. A staffing agency serves workers who text from a phone and client companies who email from a purchasing team, about the same assignment, and the person who can act is usually a recruiter at a branch.
- Two audiences, one assignment. A missed shift is a pay question for the worker and a replacement request for the client. Without the assignment on both conversations, two recruiters answer the same problem separately.
- Workers are known by phone number. Many have no work email, change numbers, or share a phone with family, so email-keyed contact records fragment.
- Pay day arrives all at once. Questions bunch into the hours after pay lands, and a first-in, first-out queue hides the worker who was not paid at all behind ten asking for a stub.
- Problems start before the office opens. Industrial shifts begin early, so call-offs and site issues land while the branch is closed.
- Answers live in the back office. Payroll, billing and compliance teams own fixes, and forwarded emails lose the worker's thread.
- Recruiters text from their own phones, so history leaves when they do and nobody can audit what a worker was promised.
How should a staffing agency set up its support inbox?
Build queues around who is asking (worker, candidate or client) and what has to happen, then attach the assignment to every conversation. In Aftersales Inbox every channel lands in one queue; views split it into the queues below and workflows assign, tag and set the SLA as messages arrive.
Fields to add first
- Contact type (worker, candidate, client), branch and employee or client ID.
- Current assignment, client site and shift pattern.
- Pay frequency and next pay date for workers; account tier and account manager for clients.
Custom fields act as filters and columns, so one view can list every open pay question at the north branch due before Friday's payroll cutoff.
| Queue | What lands there | SLA target | Owner |
|---|---|---|---|
| Pay and pay stubs | Missing or short pay, stub copies, deductions, year-end tax forms | 2 hours on pay day, 4 business hours otherwise | Payroll desk |
| Shifts and attendance | Call-offs, lateness, site directions, schedule changes | 15 minutes from 5am to 10pm | On-call recruiter for the branch |
| Timesheets | Missing punches, corrections, client approval chasers | 4 business hours, before the payroll cutoff | Branch coordinator |
| Onboarding and compliance | Paperwork, screening status, right-to-work questions | 1 business day | Onboarding team |
| Candidates | Application status, new job alerts, interview times | 1 business day | Recruiters, round-robin |
| Client orders | New orders, extra headcount, no-show replacements | 30 minutes for same-day orders, 2 hours otherwise | Account manager |
| Client billing | Invoice copies, disputed hours, rate or PO queries | 1 business day | Billing team |
| Safety and conduct | Injuries, unsafe sites, harassment and discrimination complaints | 15 minutes, around the clock | Safety lead and branch manager |
Suggested starting points, not benchmarks. Set your own from your response data, branch hours and payroll cutoffs.
Routing rules
- Tag contact type and branch from your ATS through a webhook so worker and client messages split on arrival.
- On pay day, raise the priority of any message containing "not paid" or "no pay" above stub requests.
- Assign Candidates round-robin across recruiters; workflows and round-robin come with Growth and Scale.
- Open a Slack side conversation with payroll or billing to check a figure without leaving the worker's or client's thread.
- Create a Jira issue from a workflow when a payroll error affects more than one worker, so the back office fixes the cause.
What reply templates does a staffing agency need?
The hardest staffing conversations involve someone's income or a client's operation. Each template says what happened, what you have done and the one next step. Replace each {placeholder} with real details.
Short pay confirmed, correction scheduled
Hi {first_name}, you're right: your pay for the week ending {week_end} was missing {hours} hours from {site}. That was our error. The correction of {gross_amount} before deductions will be in your pay on {correction_date}. If that date causes a hardship, reply here and I'll ask {payroll_lead} about an earlier payment today.
Pay held because the client has not approved the timesheet
Hi {first_name}, your hours for {week_end} are recorded, but {client_name} hasn't approved the timesheet yet, so payroll can't release them. I've contacted {approver_role} and asked for approval by {cutoff}. If it's approved by then you'll be paid on {pay_date}; I'll update you either way by {update_time}.
Assignment ended early by the client
Hi {first_name}, {client_name} has told us they need to end your assignment at {site} after {last_shift}. This was their staffing decision. You'll be paid for every hour you worked, on {pay_date}. I'd like to find your next placement: are you available from {date}, and is {shift_pattern} still right for you?
No-show reported, replacement offered (to a client)
Hi {contact_name}, I'm sorry {worker_first_name} didn't arrive for today's {shift_time} shift at {site}. We have {replacement_name} available to start at {start_time}, already trained on {skill}. Reply yes and I'll confirm now. You won't be billed for the missed shift, and I'll follow up on attendance with our team.
Disputed hours on an invoice (to a client)
Hi {contact_name}, thanks for flagging invoice {invoice_number}. The {hours} hours for {worker_count} workers in week {week} came from timesheets approved by {approver} on {approval_date}; I've attached them with the clock-in records. If anything still doesn't match your records, tell me which shifts and I'll have billing review them by {date}.
Injury reported by a worker
Hi {first_name}, thank you for telling us, and I'm sorry you were hurt. If you need urgent medical help, call {emergency_number} now. {safety_lead} will call you within {time} to record what happened and explain next steps, and we're informing {client_name} today. You won't lose pay for reporting this.
How should a staffing agency staff its support desk around shifts and pay days?
Staff for the working day of your workforce, not your office. Most agencies run branch recruiters who own their workers and clients, plus a central desk for payroll and billing questions.
- Early and late cover. Put an on-call recruiter on the Shifts and attendance queue from before the first shift starts, typically 5am for industrial clients, until the last shift is underway.
- Pay-day surge. Move recruiters onto the Pay queue for the first hours after pay lands, and give payroll a visible view of the backlog.
- Weekends. Rotate one recruiter per region for weekend call-offs and same-day client orders.
- Year end. Fourth-quarter holiday hiring adds workers just as client orders peak, and requests for W-2 copies follow in January, when the IRS requires employers to furnish Forms W-2.
- The UK 12-week point. Agency workers gain equal treatment on pay and conditions after 12 weeks in the same role, as GOV.UK explains, so expect pay questions as long assignments cross that line.
Account managers and branch managers can join as free Lite seats (20 on Growth, 50 on Scale) to see threads, comment and approve exceptions without a paid seat.
Where does AI help a staffing agency's recruiters?
Use AI to remove the repetitive half of the queue and to make recruiters faster on the rest.
- Copilot drafts replies that cite the timesheet, pay stub or policy they came from, so a recruiter can check a figure before sending. Teams using Copilot on every conversation see a 2.4x faster median reply, by Aftersales' own measure.
- Summaries let the evening recruiter pick up a worker's three-day pay dispute without reading every message.
- Translation in 31 languages, including right-to-left scripts, lets any recruiter answer a worker in their own language.
- Agent takes the routine share, such as stub copies, shift details and approval chasers. The full set-up is in AI customer service for staffing agencies, and how it works in Copilot.
Which customer service metrics should a staffing agency track?
Measure workers and clients separately, and tie pay metrics to the payroll cycle rather than the calendar week. Insights reports resolution rate, cost per conversation and CSAT for AI and humans, with custom scorecards on Insights Pro.
| Metric | Formula | Target guidance |
|---|---|---|
| Pay queries per 100 workers paid | Pay conversations in a pay week / workers paid x 100 | Track the trend after each payroll change; a rise points to a process fault |
| Pay error rate | Corrections issued / pay stubs issued | Aim to fall quarter on quarter |
| Timesheets approved before cutoff | Timesheets approved on time / timesheets due | Set per client and raise it in account reviews |
| Call-off response time | Median time from call-off message to recruiter acknowledgment | Set below the time you need to find a replacement |
| Replacement time | Median time from no-show report to replacement confirmed | Agree it with each key client |
| Cost per conversation | (Seats + Agent resolutions + channel costs) / conversations | Compare worker and client conversations separately |
| CSAT by audience | Positive ratings / ratings, split worker and client | Watch for gaps between branches |
| Reopen rate on pay issues | Pay conversations reopened within 14 days / pay conversations closed | Low and falling; reopens mean the fix did not land |
Targets are guidance for setting your own baselines, not industry benchmarks.
How do you switch a staffing agency to a new helpdesk?
Most agencies move from a mix of shared branch mailboxes, recruiters' personal phones and the texting built into their ATS, or from a general helpdesk such as Zendesk or Freshdesk. Plan the move around your payroll calendar.
- Pick a quiet week just after a pay day, never in the run-up to holiday peak.
- Move the numbers workers already text. Port or forward branch numbers so workers do not have to learn a new one.
- Import contacts with contact type and branch from your ATS, plus open conversations and your macros.
- Rebuild queues and SLAs from the table above and switch on routing one branch at a time.
- Tell workers by text where to send pay and shift questions from now on.
Most teams finish migration in an afternoon, and Aftersales runs the migration with you on Growth and Scale. If you would rather stay in Zendesk, Salesforce Service Cloud or Freshdesk, Agent can run inside it without seats or a migration. Compare options on the Zendesk alternative and Freshdesk alternative pages, or see pricing.
