What do car rental customers contact support about?
Most renter contacts are reservation changes before pickup, deposit and card questions at the counter, and toll or fuel charges after return. Agent can settle most of that from your reservation, payment and toll records; damage, accidents and disputed fines belong to people.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Change or cancel a reservation | Yes, for direct bookings within your rate rules | Booked through a travel site, broker or tour package; negotiated corporate or group rates; prepaid refund over your cap | Reservation, rate rules, availability |
| Pickup requirements: license, age, payment card, extra drivers | Yes | The renter wants an exception, such as a debit card where you require credit | Branch policies |
| Deposit and authorization holds | Yes: explains the amount and the release date | Hold still showing after your release window, or a duplicate charge | Authorizations |
| Extend a rental | Yes, if the car isn't committed elsewhere and a new authorization succeeds | Car needed for a later booking or due for service, unpaid balance, past your maximum rental length | Fleet calendar, rates |
| Toll charges and toll program fees | Yes: itemizes each toll and the service fee | Renter used their own transponder or paid at the booth, or disputes the program fee | Toll transactions, terms |
| Parking tickets, camera fines and admin fees | Partly: sends the notice and explains the fee | Any challenge to the violation or the administrative fee | Notice, fee schedule |
| Damage notices and claims | No: acknowledges and routes | Always | None; claims staff get the file |
| Breakdown, flat tire, lockout or accident mid-rental | Partly: roadside number, incident log, safety message | Anyone hurt, another vehicle involved, car not drivable, renter stranded at night | Agreement, roadside provider |
| Final invoice: fuel, mileage, cleaning, late return | Yes, up to your refund cap | Over the cap, a chargeback threat or legal language | Check-in record, fees |
| Receipts and lost property | Yes | Valuables, or nothing found after the branch search | Invoice, lost-and-found log |
Example set-up. Your operations and claims leads set every limit.
Holds confuse renters more than their size suggests. The FTC tells renters that most rental companies block more than the agreed rental cost on a card, which can leave a low balance short for other purchases. Explain the hold before pickup.
What does an AI procedure for a reservation change look like?
Write the brief you'd give a new reservations agent. Agent converts it into steps, each calling a connector whose permissions you can revoke. Reservation changes are the natural first procedure.
Example procedure: “I need to change my reservation”
- Ask for the confirmation number and last name, and match the email or phone on file before changing anything.
- Check the booking source. If a travel site, broker or tour operator holds it, say the change must be made there and give its name and reference. Corporate and group bookings go to commercial accounts.
- Look up the new dates and branch for the same car class, and check the new pickup time against branch hours. Offer after-hours key collection only where that branch runs it.
- Quote the new total before changing anything: daily rate, one-way fee if the return branch changes, young-driver fee, taxes and airport fees. Wait for a clear yes.
- Apply any prepaid change fee and refund a lower total up to $150, handing off above that. If the class is sold out, offer an upgrade only where the branch allows one, or the nearest branch with a car.
- Send the new confirmation by email and text with what to bring: driver's license, a card in the renter's name and any extra driver's license.
- Hand off if the rental has already started (that's an extension), if the renter mentions damage, an accident or a lawyer, or if sentiment turns negative.
Guardrails: refunds capped at $150 per booking; fee waivers over $25 need approval; no change to a named driver without your counter's checks; no card numbers in chat. Tag each conversation with booking source and branch so Insights can flag a spike, such as a run of changes after cancellations at one airport.
Example conversation (illustrative, not a real renter)
Renter, WhatsApp, 6:12 am: My flight's been moved to tomorrow. Can I push the whole rental back a day?
Agent: I can check that. What's your confirmation number and the last name on the booking?
Renter: RX48213, Okafor.
Agent: Thanks, Daniel. The airport branch has your midsize class tomorrow from 1:00 pm. Tomorrow's rate is a little higher, so the three days come to $232.40 with taxes and fees, $17.10 more than now. Shall I change it?
Renter: Yes please.
Agent: Done. The new confirmation is on its way by text; bring your license and the card you booked with.
What should a car rental AI agent never do?
A car rental AI agent should never decide anything about damage. Agent doesn't agree that damage happened, estimate a repair, drop a claim or charge a card for it. It passes those conversations to your claims team with the thread, every record it checked and the steps it already took.
State law gives another reason to keep damage with people. New York's rental vehicle law requires a repair or appraisal estimate before a company tries to collect for damage.
Agent never
- Agrees, disputes or estimates damage, or says a claim will go away.
- Tells a renter whether their own insurance covers the rental or whether to buy your waiver. It can describe what each protection product covers, then suggest they check their own policies, as the FTC advises.
- Uses vehicle location data. California limits rental companies' use of electronic surveillance technology, including using it to impose fines or surcharges.
- Collects card numbers, security codes or license photos in chat. Payment goes through your secure payment page; license checks happen at the counter or in your verified check-in flow.
Agent always hands off
- Damage notices, claims and requests to inspect the car.
- Accidents involving another vehicle or an injury, after telling the renter to call 911 if anyone is hurt.
- Challenges to a parking or camera violation, which only the issuing authority can decide.
- Rentals overdue past your grace period, so a person decides how to reach the renter and recover the car.
- Legal language such as “lawyer”, “small claims” or “chargeback”, and strongly negative sentiment.
- Accessibility requests the branch must confirm, such as hand controls. The ADA's Title III regulations list installing vehicle hand controls among their examples of barrier removal.
How renter data is handled
Give each procedure only the renter fields it needs. Aftersales hosts all customer data in the US and offers a GDPR DPA with Standard Contractual Clauses for operators renting in the EU or UK. See the security page.
Which channels do renters use to reach a rental company?
SMS, WhatsApp and voice carry the urgent conversations; email carries the paperwork.
- SMS. Pickup reminders and return receipts that a renter can reply to.
- WhatsApp. Visitors from abroad often message rather than call a foreign number. Agent recognizes which of 31 languages a renter is writing in from the first message and answers in it.
- Phone. Breakdowns, accidents and counter problems. Aftersales phone, on Growth and above, offers recording consent, warm or cold transfers and per-brand numbers.
- Web chat on your booking site. Age, debit card and one-way questions before checkout, when an answer can still prevent a refused rental.
- Email. Invoices, toll statements, violation notices and damage paperwork.
All five feed one shared inbox, so a text and a later call stay one conversation.
Which car rental systems should an AI agent connect to?
Agent needs read access to the records your reservations team already checks, plus a few write actions with limits. Stripe and Salesforce have built-in connectors. Your rental management system, toll feed, violations processing and inspection records link up through the Aftersales API or webhooks, so confirm specific connectors on a call.
| System | Agent reads | Agent can |
|---|---|---|
| Rental management or reservation system | Reservations, rate rules, branch hours, availability by class | Change or cancel a booking; extend a rental within your rules |
| Payment gateway (Stripe, if you take payments through it) | Authorizations, holds, charges | Refund within limits; explain a hold |
| Toll program partner or toll feed | Transactions with plaza and time, service fees | Itemize charges; log a dispute for review |
| Violations processing | Notice copy, issuing authority, admin fee | Send the notice to the renter |
| Damage inspection and check-in records | Whether a report exists; fuel and mileage at return | Attach photos and the report to the handoff, nothing more |
| CRM or loyalty records (Salesforce, if you run it) | Loyalty tier, corporate account, negotiated rates | Route top-tier and corporate renters; update contact details |
Leave telematics out of scope. If your team stays on Zendesk, Freshdesk or Salesforce Service Cloud for now, Agent can run inside that helpdesk with no seats and nothing to migrate, priced at $0.99 a resolution against a minimum monthly commitment.
How much does AI customer service cost for a car rental company?
You pay for your human team's seats, then $0.99 whenever Agent resolves a conversation. Growth is the plan that includes phone with transfers and recording.
Example: 12 branches, 8 Growth seats with Copilot, 5,000 conversations a month, and Agent resolving 55% because damage, accidents and disputed fines always go to people. List prices, billed annually.
| Item | Working | Per month |
|---|---|---|
| Growth seats | 8 × $69 | $552 |
| Agent resolutions | 2,750 × $0.99 | $2,722.50 |
| Copilot add-on | 8 × $29 | $232 |
| Handed to your team | 2,250 × $0 | $0 |
| Total | $3,506.50 |
That's about $0.70 per conversation. At 8,000 conversations in July, the Agent line rises to $4,356 and 3,600 go to people. Branch managers approve exceptions from free Lite seats. Full plan details are on the pricing page.
How do you roll out an AI agent for car rental in 30 days?
Start with booking-site chat, and add actions that move money once handoffs look right, ideally before your next holiday peak.
- Days 1 to 14: connect and go live on chat. Connect reservations and payments, load the procedure above, and route damage, accident and fines keywords to people. Reservations staff review each handoff daily.
- Days 15 to 21: holds, extensions and tolls, then open SMS and WhatsApp.
- Days 22 to 30: evenings, weekends and review. Check resolution rate, CSAT and every damage handoff; on Growth and above, Monitors check each conversation.
The resolution rate guide explains how to count resolutions fairly. Related travel pages cover hotels and airlines, and the AI customer service section lists every sector.
