What do fashion and apparel customers contact customer service about?
Fashion customers mostly contact you about fit, swapping sizes, return deadlines, restocks and discount codes. Clothing is bought to be tried on at home, so many conversations start after the parcel is opened. Retailers estimated that 19.3% of online sales would be returned in 2025, according to the National Retail Federation and Happy Returns.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Which size should I order? Does this style run small? | Yes, from your measurements | Alterations, made-to-measure, or between sizes on a final-sale piece | Garment measurements, fit notes, fit-related return reasons |
| Can I swap this for another size or color? | Yes, within policy | New size sold out and they want another style, or a second swap | Order, delivery date, variant stock, exchange rules |
| Can I still send this back? Is it final sale? | Yes | Past the window, worn or washed, or hygiene liner removed | Delivery date, final-sale and hygiene flags, shipping market |
| Where is my refund or store credit? | Yes | Refund date passed, or return received but not inspected | Return status, inspection result, refund method |
| Where is my order? | Yes | Marked delivered but missing, above your reship limit | Order, carrier tracking |
| When is my size back in stock? Where is my pre-order? | Yes, from stock data | The promised ship date has passed and your system holds no revised date | Restock dates by size and color, pre-order ship dates |
| My discount code did not work, or I forgot to use it | Partly | Over your goodwill limit, creator code disputes, or stacked codes | Discount terms, exclusions, order total |
| The drop sold out in my cart, or I was charged with no order | Partly | Payment taken without an order, suspected bot purchases, or a resale complaint | Drop rules, order lookup by email, payment status |
| It arrived damaged, faulty or not as pictured | Yes, with photos | Same fault on several orders of one style, or above your replacement limit | Order, customer photos, replacement rules |
| What is it made of? How do I wash it? Where is it made? | Yes, from product data | Skin reactions, allergies, or unpublished sustainability claims | Fiber content, care instructions, country of origin |
Illustrative split: your return policy, value limits and connected systems will move some rows.
Size or address edits before dispatch can run through the Aftersales API if your order system accepts them (confirm specific connectors on a call).

What does an AI procedure for a fashion size exchange look like?
A size exchange procedure verifies the shopper, checks eligibility, helps pick the size, then creates the replacement and the return together.
Example procedure: size or color exchange
- Confirm who is writing: the sender's email or phone should match the Shopify order; if not, ask for the order number plus the delivery postcode.
- Check eligibility: delivered within 30 days, not final sale, and not swimwear or underwear missing its hygiene liner.
- Ask what was wrong with the fit (too small, too big, too long, too short) and log it as a reason code.
- Suggest a size from that style's garment measurements and fit notes. If the shopper sits between sizes, give both measurements and let them decide.
- If the new size and color are in stock, create a no-charge replacement order on Shopify and send the prepaid return label from your returns portal.
- Ship the replacement at once for orders under $150; above that, ship when the carrier first scans the return.
- If the new size is sold out, share a restock date only if inventory holds one, then offer another color, store credit or a refund.
- Allow one free exchange per item. A second exchange, or a price difference between variants, goes to a person.
- Hand off at once if the shopper reports damage from wear, mentions a skin reaction, or is still unhappy after two replies, passing on the order, the stock check and what Agent offered.
Treat 30 days, $150 and one free swap as placeholders until your returns and finance leads set the real numbers.
Example conversation
Example written for this page; the shopper and order are invented.
Customer: Love the linen trousers but they're way too long. Can I get a shorter length?
Agent: I found order 21-4410, delivered last Tuesday, so you're inside the 30-day exchange window. This style comes in regular and short: the short has a 29-inch inseam and the regular 31 inches. Would you like the short in the same size 8?
Customer: Yes, same size and color please.
Agent: Done. The size 8 short in sand ships today, and a prepaid label for the regular pair is in your inbox. Please send them back within 14 days with the tags on.
What guardrails does an AI agent need for a fashion brand?
A fashion AI agent needs exchange and refund limits, strict rules on what it may say about a garment, and the return rights of every market you ship to. Each is a setting in Aftersales: caps on refund and replacement value, handoff rules keyed to sentiment, keywords, customer tier or legal wording, and brand voice with a banned-phrase list.
What Agent must never do
- Promise that something will fit. It shares measurements and fit notes; the shopper decides.
- Invent fiber, origin or care details. Agent quotes only product data that follows the FTC's Textile and Wool Acts guide and the Care Labeling Rule.
- Make unpublished sustainability claims. Terms like "recycled" need substantiation under the FTC's Green Guides, so Agent repeats only approved claims.
- Quote pre-order or backorder dates your system does not hold. The FTC's Mail, Internet, or Telephone Order Merchandise Rule requires a revised date or a refund offer when shipping slips.
- Shorten statutory return rights. EU shoppers have 14 days from delivery to withdraw from an online purchase. UK rules give 14 days to cancel and another 14 to send items back, with exceptions such as unsealed hygiene items like underwear (GOV.UK).
- Give medical advice. A rash from a dye or fabric goes to a person, who logs it for quality.
What triggers a handoff
- Signs of wardrobing or serial bracketing. In the same NRF survey, close to two-thirds of consumers admitted to at least one costly returns behavior. Agent flags; a person decides.
- Returns that arrive empty or hold a different item.
- Words such as "chargeback", "lawyer" or "trading standards".
Data handling
Agent verifies the shopper before showing order history, saved addresses or store credit, asks only for the measurements a size recommendation needs, and never asks for body photos or card numbers.
Which channels matter most for fashion customer service?
Product-page chat and social DMs matter most before purchase, while email and SMS carry most of what happens after delivery. All of them feed one history, so a shopper who asked about fit in chat and later emails about the exchange never starts again.
- Product-page chat: size and fabric questions at the moment of choosing, where a clear answer can prevent a return.
- Social DMs: questions about a piece seen in a post or a creator's video, and creator codes that failed.
- Email: return labels and refund notices prompt replies here, and it suits photos of faulty items.
- SMS: replies to shipping and back-in-stock texts; keep marketing texts consented and separate.
- WhatsApp: shoppers abroad send photos of a fit or fault and get an exchange started in their own language, across 31 languages.
- Phone: mostly for VIP clients and wholesale or press orders. From Growth up it includes warm or cold transfers and call recording with consent.
What systems does a fashion AI agent need to connect to?
A fashion agent needs order data, stock by size and color, your return rules and accurate product data. Most access is read-only; the write actions are replacement orders and refunds.
- Ecommerce platform. On Shopify, Agent finds and verifies the order, then raises the replacement order that completes an exchange.
- Returns portal: eligibility, return labels and inspection results.
- Inventory or order management: stock by size and color, restock and pre-order dates, fulfillment status.
- Product data and size charts: garment measurements, fit notes, fiber, care and origin, loaded into Knowledge so Agent, reps and the help center read the same numbers.
- Payments: Stripe refunds are built in.
Shopify and Stripe connect directly; the rest of this list uses the Aftersales API or webhooks, and every step runs on a permission you grant and can withdraw. Confirm specific connectors on a call.
How much does AI customer service cost for a fashion brand?
A six-person support team at an online fashion label would pay Aftersales roughly $3,400 in an ordinary month and $6,900 in November at list prices, excluding wages.
Assumptions for this example
- Six reps, each on a Growth seat at $69 a month with annual billing.
- 5,000 conversations in an ordinary month and 11,000 in November, when Black Friday and a holiday capsule drop land together.
- A 60% Agent resolution rate after tuning. That figure is our assumption for this example; the Aftersales median after 90 days is 71%.
- Merchandisers and the warehouse and quality leads use free Lite seats, of which Growth includes 20.
| Line item | Ordinary month | November |
|---|---|---|
| Growth seats, 6 at $69 | $414 | $414 |
| Resolved by Agent ($0.99 each) | 3,000: $2,970 | 6,600: $6,534 |
| Passed to reps | 2,000, no Agent charge | 4,400, no Agent charge |
| Lite seats for merchandising and warehouse | $0 | $0 |
| Monthly software bill | $3,384 | $6,948 |
| Cost per conversation | $0.68 | $0.63 |
List prices as of October 2026 with annual billing; paying monthly raises seat prices by 20%. Adding Copilot would cost $29 more per rep each month.
Agent never takes a seat, so in a sale or a drop only the resolution line in this table grows. Plan-by-plan detail is on the pricing page.
How do you roll out AI customer service for a fashion brand in 30 days?
Start with rule-based conversations, add judgment-heavy ones later, and never go live in a drop or sale week.
- Days 1 to 7: tag 90 days of past conversations, connect Shopify and your returns portal, and load size charts, fit notes and each market's return policy into Knowledge.
- Days 8 to 14: turn exchange, return and tracking rules into procedures, replay them against last season, and agree limits with finance.
- Days 15 to 21: launch on product-page chat, then email, reading every handoff daily.
- Days 22 to 30: add restock dates, discount code checks and a drop-day article for launches. Turn on Monitors, and watch Insights for a style whose fit complaints climb.
