What do travelers contact travel agencies and tour operators about?
Before departure, most traveler questions are lookups in your booking system: is it confirmed, where are my documents, what do I still owe. Agent can close those. Once the trip starts, anything about safety, entry rules or a stranded traveler goes to your team.
| Conversation type | Can Agent resolve it? | Hand off when | Data Agent needs |
|---|---|---|---|
| Booking status and confirmation numbers | Yes | A component is still on request after 48 hours, or a supplier declined it | Booking record, status per component, hotel confirmations, airline record locator |
| Documents: e-tickets, vouchers, final itinerary, ATOL certificate (UK) | Yes, re-sends anything already issued | Documents are held for an unpaid balance or a name that doesn't match the passport | Document store, balance status |
| Deposits, final balances and payment plans | Yes: amount, due date and a payment link from your booking system | A request to move the due date, or a failed payment close to the cancellation deadline | Payment schedule, ledger, booking terms |
| Airline schedule changes | Partly: explains new times, moves transfers | A connection or hotel night breaks, or the traveler wants a refund | Airline record (PNR), old and new times, linked bookings |
| Changes travelers ask for: dates, rooms, extra nights, tours | Partly: single add-ons from live availability | The change reprices more than one supplier | Availability, supplier change fees, your service fee |
| Names, passport details and special requests | Partly: logs requests and sends your secure traveler form | Name corrections on issued tickets; medical or mobility needs | Traveler profiles, ticket status |
| Passport, visa and entry rules | Only shares official sources and your checklist | Any question about a specific traveler's eligibility | Destination, dates, checklist |
| Cancellations and refunds | Yes, within your terms and refund limit | Above the limit, disputed fees, cancellations over events at the destination, chargeback language | Booking terms, supplier cancellation rules, payments |
| Supplier failures mid-trip: no driver, hotel can't find the booking, tour canceled | Partly: sends the confirmation and local contact, alerts the supplier | The traveler is stranded, or it isn't fixed within 15 minutes | Supplier and destination management company (DMC) contacts |
| Emergencies abroad: illness, injury, lost passport, natural disaster | No | Always, at once, after pointing the traveler to local emergency services | Location, booking, emergency contact, insurer's assistance line |
Example set-up. Your operations lead sets every threshold and limit.
What does an AI procedure for an airline schedule change look like?
Airline schedule changes are the itinerary change nobody asked for. A carrier retimes a flight, and a transfer, connection or hotel night booked with another supplier stops lining up. Write the procedure as your air desk lead would brief a new hire; Agent turns each line into steps that run through connectors with permissions you can revoke.
Example procedure: “My flight times have changed”
- Verify the traveler with the booking reference and lead surname, or by the email or phone number on the booking.
- Compare original and new times for every flight in the airline record.
- Check what each change touches: connection time against the airport minimum, the transfer pickup, the first hotel night, any tour on arrival day.
- Nothing breaks: give the new local times, move the transfer pickup with the supplier, re-send the itinerary and log the traveler's acknowledgement.
- Something breaks: don't accept the airline's alternative for the traveler. Post the booking, the change and the airline's options to the air desk Slack channel, and tell the traveler when an advisor will reply.
- US flights where your agency is the merchant of record: if the change is significant under the DOT rule for ticket agents (14 CFR 399.80), meaning a departure moved at least 3 hours earlier or an arrival at least 3 hours later (6 hours on international itineraries), a different airport, an extra connection or a lower cabin, and the traveler won't fly, state the refund right before mentioning any credit and hand to refunds.
- Departure within 72 hours, or the traveler already abroad: hand to the duty team now.
Guardrails: Agent never cancels, reissues or exchanges a ticket. It may waive your own change fee up to $50 per booking and approve a transfer rebooking charge up to $40. Groups of 10 or more go to a person, as does any message containing “chargeback”, “lawyer” or “DOT complaint”. Tag each change by airline and route so Insights shows which carrier's retiming is driving volume.
Example conversation (illustrative, not a real traveler)
Traveler, WhatsApp, 8:14 am: Got an email saying our Lisbon flight on June 12 now lands at 4:55 pm instead of 2:30. Do we lose our airport pickup?
Agent: I'll check. What's the booking reference and the lead traveler's surname?
Traveler: TA-48213, Okafor.
Agent: Thanks. You'll still reach the hotel well before check-in closes, and nothing else that day is affected. I've moved your driver to 5:25 pm in arrivals and sent the updated itinerary to the email on your booking. If the airline moves the time again, message me here.
What must an AI agent for a travel agency never do?
An AI agent for a travel agency must never decide whether someone can enter a country, interpret an insurance policy or accept a supplier's alternative for the traveler. Agent gives no legal, financial or medical advice. It hands those conversations to your advisors with the booking, the data it looked up and what it already tried.
Agent never
- Says whether a traveler needs a visa or electronic authorization, or has enough passport validity. It links official sources, such as the UK's foreign travel advice, plus your document checklist.
- Sends travelers to third-party visa sellers. UK guidance on the EU Entry/Exit System warns that any website selling ETIAS before launch is fraudulent.
- Takes card numbers or full passport numbers in chat. It sends your booking system's secure link instead.
- Promises a refund, compensation or free cancellation your terms don't grant, or confirms a component the supplier hasn't.
- Explains what an insurance policy covers. It sends the policy wording and the insurer's contacts.
Agent always hands off
- Emergencies abroad, after pointing the traveler to local emergency services, with location and emergency contact attached.
- Stranded travelers, and free-cancellation requests over a hurricane, unrest or a strike at the destination.
- Legal language, chargeback threats and anything involving an unaccompanied minor.
Rules that shape your procedures
UK government guidance on the Package Travel Regulations says organizers must refund within 14 days of a package being terminated, help travelers in difficulty without delay, and let travelers cancel without a fee if the price rises more than 8%. The EU Package Travel Directive makes the organizer liable whichever supplier fails. In the US, a ticket agent that is the merchant of record must refund airfare for a canceled or significantly changed flight the traveler declines: within 7 business days for card purchases and 20 calendar days for other payments. Aftersales doesn't make an agency compliant; your terms and legal adviser set the rules Agent follows.
How traveler data is handled
Bookings hold passport details, dates of birth and sometimes health information from assistance requests, so scope Agent to the fields each procedure needs. Scale adds SSO, SAML and SCIM; see Aftersales security for GDPR DPA and US hosting details.
Which channels do travelers use to reach a travel agency?
WhatsApp and phone carry the urgent conversations once travelers leave home; email and web chat carry the planning.
- WhatsApp. Many travelers abroad skip roaming and message over hotel or café Wi-Fi, and one thread can follow the whole trip.
- Phone. Emergencies and older clients call. Phone on Growth and above has warm and cold transfers, recording consent and per-brand numbers for operators with several brands.
- Email. Quotes, invoices and document packs.
- Web chat and SMS. Chat answers pre-departure questions on your site; SMS carries departure reminders and schedule-change alerts.
Agent replies in 31 languages, which matters for inbound operators. Every channel lands in one shared inbox, so a traveler who messages on WhatsApp and then calls the duty line doesn't start over.
Which travel systems should an AI agent connect to?
Stripe, Salesforce and Slack have built-in connectors. Reservation systems, GDS queues, supplier portals and insurers connect through the Aftersales API or webhooks; confirm specific connectors on a call.
| System | What Agent reads | What Agent may do |
|---|---|---|
| Reservation or tour operating system | Bookings, components, supplier status, payment schedule, documents | Re-send documents, send payment links, log special requests |
| Schedule-change queue in your GDS or mid-office | Original and new flight times | Read only; flags breaks for the air desk |
| Supplier portals, bed banks and DMC contacts | Confirmation numbers, out-of-hours contacts | Request a new transfer time; alert the supplier |
| Stripe, if you take deposits or fees through it | Charges and payment status | Refund within your limit |
| Salesforce, if it holds traveler profiles | Preferences, loyalty numbers, advisor of record | Update the record |
| Travel insurance provider | Policy number and documents | Send the policy and claims contact |
| Slack | Not needed | Post handoffs to the air desk or duty channel |
Agent reads multi-supplier bookings one component at a time, so a question about the second hotel gets that hotel's details. Teams staying on Zendesk, Freshdesk or Salesforce Service Cloud can run Agent inside them with no seats or migration, at $0.99 per resolution with a minimum monthly commitment.
How much does AI customer service cost for a tour operator?
Expect human seats plus $0.99 per conversation Agent resolves. Growth suits most agencies because it includes phone with transfers for the duty line.
Example assumptions: 6 seats on Growth; 3,000 traveler conversations in a typical month and 4,500 in a peak booking month; Agent resolving 45% while new (below the 71% median Aftersales sees after 90 days, since emergencies and visa questions always go to people); Copilot for every rep; annual billing at list prices.
| Line item | Typical month (3,000 conversations) | Peak month (4,500 conversations) |
|---|---|---|
| Growth seats | 6 × $69 = $414 | $414 |
| Agent resolutions at 45% | 1,350 × $0.99 = $1,336.50 | 2,025 × $0.99 = $2,004.75 |
| Copilot add-on | 6 × $29 = $174 | $174 |
| Conversations handed to people | $0 | $0 |
| Total | $1,924.50 | $2,592.75 |
That is about $0.64 per conversation in a typical month and $0.58 at peak: seat costs stay flat because Agent takes no seat. Finance staff can join as free Lite seats (20 on Growth), and a one-person agency can start on the Free plan, which includes the first 50 resolutions. Full plan details are on Aftersales pricing.
How do you roll out an AI agent at a travel agency in 30 days?
Start with travelers weeks from departure, in office hours, on one channel, and add in-trip conversations once duty handoffs work every time.
- Days 1 to 7: connect and write. Connect your booking system and documents, write procedures for status, documents and balances, and agree emergency triggers with your operations lead.
- Days 8 to 14: pre-departure questions. Turn Agent on in web chat and email for travelers more than 14 days out. Advisors read every handoff and fix procedures the same day.
- Days 15 to 21: schedule changes and WhatsApp. Add the schedule-change procedure, set fee-waiver and refund limits, and open WhatsApp.
- Days 22 to 30: overnight cover. Agent answers routine questions after hours and pages the duty officer for anything urgent. Review resolution rate, CSAT and every emergency handoff; Monitors check each conversation without sampling.
Measure with the resolution rate guide. Agencies selling flights and stays may also want the guides for airlines and hotels, or the full list of AI customer service guides by industry.
