What is customer service analytics software?
Customer service analytics software measures what happens in your support conversations and why. At minimum it reports volume, response times and CSAT. The useful tools go further: they show how many conversations were actually resolved (by AI and by people), what each conversation costs, how customers felt even when they skipped the survey, and which topics are driving contact volume this week.
Four metrics do most of the work. If a tool cannot give you these, you will end up rebuilding them in a spreadsheet.
| Metric | What it answers | How it is usually calculated | Common trap |
|---|---|---|---|
| Resolution rate | How much volume is genuinely closed, and by whom | Resolved conversations / total conversations, split by AI and human | Counting deflection (customer left) as resolution |
| Cost per conversation | What one handled conversation costs you | (Seats + AI fees + channel costs) / conversations handled | Leaving AI usage fees or channel costs out of the numerator |
| CSAT and sentiment | How customers felt about the outcome | Survey score for responders; AI-scored sentiment for everyone else | Survey response bias: only the very happy and very angry reply |
| Topic detection | Why customers are contacting you | AI classifies every conversation into topics and subtopics; trends over time | Relying on agents to pick tags by hand, which drifts and goes stale |
For a deeper look at the first metric, read our resolution rate guide. Ecommerce teams can also use our list of post-purchase CX metrics.
How do the best customer service analytics tools compare?
Two kinds of tools are on this list. Helpdesk platforms (Aftersales, Zendesk, Intercom) report on conversations they handle themselves. Specialist analytics tools (SentiSum, Chattermill, Thematic, SupportLogic, Rippit, Level AI, Observe.AI) sit on top of your helpdesk, contact center or survey data and go deeper on topics, sentiment and quality.
| Tool | Type | Resolution rate | Cost per conversation | CSAT / sentiment | Topic detection | Pricing |
|---|---|---|---|---|---|---|
| Aftersales | Helpdesk + AI agent | Built in, AI and human | Built in (seats + resolutions + channels) | CSAT for AI and humans; Monitors on every conversation (Growth+) | Real-time issue detection on your own conversations | Free plan; from $24/seat; Insights Pro $99/mo |
| Zendesk | Helpdesk | Prebuilt dashboards; AI agent datasets | Build it yourself | CSAT; sentiment via intelligent triage | Intent detection via intelligent triage | From $19/agent; custom exploration on Suite Professional ($115) |
| Intercom | Helpdesk + AI agent | Fin and human reporting | Build it yourself | CX Score on every conversation | Topics Explorer | From $29/seat + $0.99 per Fin outcome |
| SentiSum | Conversation intelligence | Not the focus | Quantifies cost of issues | Sentiment on every conversation | Automatic root-cause taxonomy | From $100,000/year |
| Chattermill | Feedback analytics | Not the focus | Not the focus | Sentiment across feedback sources | Themes across tickets, reviews, surveys | Volume based, no per-user fee |
| Thematic | Feedback analytics | Not the focus | Not the focus | Sentiment analysis | Themes discovered without a preset taxonomy | Foundation $25,000/year |
| SupportLogic | B2B support intelligence | Not the focus | Not the focus | Sentiment and escalation prediction | Sentiment and trend analytics | Sales quote |
| Rippit (formerly MaestroQA) | Conversation data and QA | Not the focus | Not the focus | AI review of every conversation | Custom agents for product feedback, churn risk | Free trial; tiers on site |
| Level AI | Contact center QA and analytics | Containment for its own virtual agents | Not the focus | Sentiment and empathy scoring | Voice of customer insights | Demo / quote |
| Observe.AI | Contact center conversation intelligence | For its own AI agents | Not the focus | Interaction evaluation | Interaction analytics | Demo / quote |

How did we compare these tools?
We judged each tool on the four metrics support leaders are asked about most, then on what it takes to get them. Prices come from each vendor's own site, checked in October 2026. Where a vendor does not publish prices, we describe the model instead.
- Resolution rate: can it report genuine resolutions, separately for AI and humans, without a custom build?
- Cost per conversation: does it combine seats, AI fees and channels into one unit cost, or do you calculate it yourself?
- CSAT and sentiment: does it cover only survey responders, or score every conversation?
- Topic detection: does it classify conversations automatically and flag new issues as they start?
- Data sources: its own conversations only, or tickets, calls, reviews and surveys from other systems?
- Access to the data: exports, APIs and warehouse sync for teams that report in their own BI tool.
Aftersales is our product, so we list it first. Every entry, including ours, has a "watch out for", and several specialists beat us on parts of this niche.
The 10 best customer service analytics software tools
1. Aftersales: best for teams that want resolution rate and cost per conversation without building reports
Aftersales is a helpdesk and AI agent with analytics built into the same data. Insights reports resolution rate, cost per conversation and CSAT for both the Agent and your human team. Cost per conversation puts seats, Agent resolutions and channels into one unit cost, so you do not need a spreadsheet to answer "what does a conversation cost us now?"
Insights also runs real-time issue detection, so a spike in a new kind of conversation shows up while it is happening, and forecasting for staffing. Quality Monitors score every conversation instead of a sample; Helio Energy saw quality scores rise 14 points after Monitors replaced sampling. Custom scorecards come with Insights Pro. For your own reporting, the Events API and CSV export are on every plan, and Scale adds sync to Snowflake, BigQuery and Redshift.
The limit is scope. Aftersales analyzes conversations that run through Aftersales. If you need to mine app reviews, NPS comments and survey verbatims alongside tickets, a feedback analytics tool such as Chattermill or Thematic goes further.
- Best for
- Support teams that want resolution rate, cost per conversation, CSAT and issue detection in the same product that handles the conversations
- Pricing
- Free plan (1 seat, first 50 Agent resolutions free). Starter $24, Growth $69, Scale $109 per seat/month billed annually. Agent $0.99 per resolution. Insights Pro $99/month. See pricing.
- Strengths
- Cost per conversation out of the box, AI and human CSAT side by side, Monitors on every conversation (Growth and up), Events API and CSV export on every plan, warehouse sync on Scale
- Watch out for
- Analyzes its own conversations only, not reviews or surveys from other tools. Custom scorecards need Insights Pro, and warehouse sync needs Scale.
2. Zendesk: best for large Zendesk teams that want deep, custom reporting
Zendesk includes prebuilt analytics dashboards on every plan. Suite Professional adds custom data exploration and scheduled dashboard delivery, which is what most analysts want. Intelligent triage uses AI to predict each ticket's intent, sentiment and language, which you can then route on and report on (Zendesk help center). It is included on Suite Professional and an add-on on lower plans.
- Best for
- Established Zendesk teams with an analyst who will build custom reports
- Pricing
- Support Team $19, Suite Team $55, Suite Professional $115 per agent/month billed annually. Quality Assurance is an add-on; the Workforce Engagement bundle is $50/agent/month. See our Zendesk pricing breakdown.
- Strengths
- Mature, flexible reporting on Suite Professional, intent and sentiment detection, scheduled dashboards, large partner ecosystem
- Watch out for
- The analytics most teams want (custom exploration, intelligent triage) sit on the $115 plan or behind add-ons, and cost per conversation is something you build yourself. Already on Zendesk? Aftersales Agent can run inside it with no migration.
3. Intercom: best for Fin customers who want AI-scored quality and topics
Intercom's Fin Insights adds three tools: CX Score, which rates every conversation with a plain-language explanation and no survey; Topics Explorer, which groups conversations into topics and subtopics with resolution rate and handling time layered in; and an Optimize dashboard with suggestions to improve Fin. Intercom says Insights is available to Fin customers, including those who import conversations from Zendesk or Salesforce (Fin help center).
- Best for
- SaaS teams already using Fin who want topic and quality analytics tied to AI performance
- Pricing
- Essential $29, Advanced $85, Expert $132 per seat/month billed annually, plus $0.99 per Fin outcome. See Intercom pricing.
- Strengths
- CX Score covers 100% of conversations, Topics Explorer with resolution data per topic, works on imported conversations
- Watch out for
- Insights is built around Fin, so it suits teams committed to Fin. No built-in cost per conversation that combines seats and outcome fees. Compare Intercom alternatives.
4. SentiSum: best for enterprise teams that want root causes tied to money
SentiSum reads every conversation across tickets, calls, chats, reviews, NPS surveys and bot transcripts, builds a topic taxonomy without manual tagging, and estimates what each issue is costing. It connects natively to Zendesk, Freshdesk, Intercom, Gorgias, Salesforce and others. For topic detection across many channels it is more specialized than any helpdesk on this list, including Aftersales.
- Best for
- Large CX organizations that need root-cause analysis and early warnings across every channel and helpdesk
- Pricing
- From $100,000 per year as an annual partnership with volume-based bands; unlimited users included.
- Strengths
- Automatic taxonomy, anomaly alerts, financial impact per issue, many native integrations
- Watch out for
- The price puts it out of reach for small and mid-size teams. It analyzes conversations; it does not answer them.
5. Chattermill: best for unifying support tickets with reviews and surveys
Chattermill pulls customer feedback from 65+ native integrations, including Zendesk and Intercom, plus surveys, reviews, social and call transcripts, and analyzes it with its own AI. It flags issues as they happen and offers an MCP server so AI assistants can query the findings.
- Best for
- CX and product teams that want one view of support tickets, reviews and survey feedback
- Pricing
- No per-user fees; pricing is based on feedback volume and quoted after a demo.
- Strengths
- Wide source coverage, unlimited users, issue alerts, MCP access for AI tools
- Watch out for
- Built for teams with a large volume of feedback each month. It does not report resolution rate or cost per conversation.
6. Thematic: best for discovering themes without a preset taxonomy
Thematic finds themes directly in customer language instead of asking you to define categories first. It analyzes support tickets, call transcripts, app reviews, surveys and CRM notes, with integrations including Zendesk and Salesforce, and includes sentiment analysis, dashboards and workflows.
- Best for
- Insights or research teams that want topic discovery across support and survey data with published pricing
- Pricing
- Foundation $25,000 per year (up to 25,000 comments, 3 datasets). Enterprise is custom.
- Strengths
- Bottom-up theme discovery, sentiment, published entry price
- Watch out for
- Priced by comment volume, so high-volume support teams will need Enterprise. No operational support metrics.
7. SupportLogic: best for B2B support teams managing escalations
SupportLogic focuses on enterprise B2B support. Its agents detect sentiment, predict which cases will escalate, and feed sentiment and trend analytics, with a Data Cloud you can query from your warehouse. It connects to Salesforce, Zendesk, ServiceNow, Jira, Dynamics and Freshdesk.
- Best for
- Technical B2B support teams where one escalated account matters more than ticket volume
- Pricing
- Not published; SupportLogic describes hybrid pricing and flexible packaging.
- Strengths
- Escalation prediction, account-level sentiment, warehouse access, broad CRM and telephony integrations
- Watch out for
- Enterprise focus and sales-led buying. Less relevant for high-volume consumer support.
8. Rippit (formerly MaestroQA): best for custom analysis agents on top of QA
MaestroQA renamed itself Rippit in 2026 and now describes itself as an AI conversation data platform. You set up agents that scan 100% of conversations across calls, email, Slack and chatbots for use cases such as chatbot monitoring, churn risk, product feedback and coaching. If QA scoring is your main need, see our best customer service QA software list.
- Best for
- Teams with an established QA program that want to run custom analyses over every conversation
- Pricing
- Free trial; pricing tiers listed on its site.
- Strengths
- Configurable analysis agents, QA heritage, chatbot monitoring
- Watch out for
- Recent rebrand, so check documentation and integrations match your stack. Not a source of operational metrics like cost per conversation.
9. Level AI: best for contact centers that want QA and sentiment on every call
Level AI scores 100% of interactions across voice, chat, email and social, with sentiment and empathy scoring, voice of customer insights and coaching plans. It also offers its own virtual agents.
- Best for
- Voice-heavy contact centers that need automated QA and customer insight from calls
- Pricing
- Not published; sold via demo.
- Strengths
- Voice analytics, automated scoring of every interaction, coaching
- Watch out for
- Contact-center oriented and sales-led. Smaller digital-first teams may not need this depth.
10. Observe.AI: best for large voice operations
Observe.AI combines conversation intelligence and interaction analytics with evaluation, coaching, real-time agent assist and its own voice and chat AI agents. For a phone-first operation it is a stronger analytics fit than Aftersales, whose phone channel is part of a broader inbox.
- Best for
- Large phone-first contact centers that want analytics, QA and agent assist in one platform
- Pricing
- Not published; sold via demo.
- Strengths
- Built for voice, real-time assist, evaluation and coaching tied to outcomes
- Watch out for
- Enterprise buying process and implementation. More than a small email and chat team needs.

How much does customer service analytics software cost?
Analytics pricing ranges from included-with-your-helpdesk to six figures a year. Example assumptions: a 10-person support team, list prices, annual billing, analytics cost only (AI resolution fees excluded because they depend on volume).
| Option | What you pay | Monthly equivalent | What you get |
|---|---|---|---|
| Aftersales Growth + Insights Pro | 10 x $69 + $99 | $789 | Helpdesk, Insights, Monitors and custom scorecards |
| Zendesk Suite Professional | 10 x $115 | $1,150 | Helpdesk, custom data exploration, intelligent triage |
| Thematic Foundation | $25,000 / year | About $2,083 | Theme and sentiment analysis, on top of your helpdesk |
| SentiSum | From $100,000 / year | From about $8,333 | Conversation intelligence, on top of your helpdesk |

The helpdesk rows include the helpdesk itself; the specialist rows are in addition to whatever helpdesk you run. Specialists are worth it when you need analysis across many sources or a very large volume. If your main questions are resolution rate, cost per conversation and CSAT, the helpdesk you already pay for should answer them.
See your own cost per conversation.Start a 14-day free trial and Insights will report resolution rate, CSAT and unit cost from your first conversations.
How do you choose customer service analytics software?
- Write down the five questions you are asked most. Usually: how many did AI resolve, what does a conversation cost, how happy are customers, what is driving volume, are we staffed right.
- Check where the data lives. If almost everything is in one helpdesk, start with its reporting. If feedback is spread across reviews, surveys and calls, add a specialist.
- Test resolution definitions. Ask each vendor how a resolution is counted and whether a customer who simply left counts.
- Check coverage of CSAT. Prefer tools that score every conversation, not only survey responders.
- Confirm data access. CSV, API and warehouse sync matter if finance or BI will own the numbers. Review security and data residency at the same time.
