What is self-service customer support software?
Self-service customer support software lets customers get answers and finish tasks without waiting for a person. In 2026 that covers four layers: a help center (searchable articles), an AI agent that answers in chat or email and can take actions, a community forum where customers help each other, and a customer portal where logged-in customers check tickets, orders or account details.
Few tools are strong at all four. Helpdesk suites bundle a help center and an AI agent. Community platforms specialize in forums. CRM platforms build authenticated portals on top of customer data. The right choice depends on which layer handles most of your volume.
One shift matters most: an AI agent now reads your help center and answers for you, so self-service is no longer only about customers finding articles. If the agent can also check an order or issue a refund, self-service covers the conversations that used to need a human. Our resolution rate guide explains how to measure that.

How did we compare these tools?
We checked every tool on its own website in October 2026 and compared what each one does for self-service, not its full feature list. Where a vendor does not publish prices, we say so.
- Coverage of the four layers: help center, AI agent, community forum and customer portal.
- Depth of the AI: does it only quote articles, or can it look up data and act (refund, replace, update an account)?
- Handoff: what happens when self-service fails, and whether the human sees what the customer already tried.
- Pricing model: per seat, per resolution, per session, per member or by quote, and which plan unlocks the self-service features.
- Honest limits: every entry has a "watch out for".
Aftersales is our product and we list it first. We say plainly below where a specialist is the better pick, especially for community forums and authenticated portals.
The 10 best self-service customer support software tools
1. Aftersales: best for AI self-service that resolves conversations and takes actions
Aftersales approaches self-service from the conversation, not the article. Agent answers customers in chat, email, WhatsApp, SMS and social in 31 languages, and it does more than quote the help center. Teams describe a procedure in plain language (for example, how to handle a damaged item) and Agent turns it into steps that call Shopify, Stripe, Salesforce or your own API, with spend limits and escalation rules for sentiment, keywords, customer tier or legal language.
The help center and Agent read from one Knowledge source, so an article update changes what customers read and what Agent says. When Agent can't resolve something, it hands off in the Inbox with the conversation, the data it looked up and what it already tried. Median resolution by Agent is 71% after 90 days, and you pay $0.99 only when it resolves a conversation.
Where it is weaker: Aftersales has no community forum and no authenticated customer portal for browsing tickets or account history. If peer-to-peer answers or a logged-in portal are central to your self-service, pair it with a community tool or choose Zendesk, Freshdesk or Salesforce Experience Cloud.
- Best for
- Teams that want self-service to resolve real requests (orders, refunds, account changes), not only deflect to articles
- Pricing
- Free $0 (1 seat, public help center, first 50 Agent resolutions free). Starter $24, Growth $69, Scale $109 per seat/month billed annually. Agent $0.99 per resolution, counted once per conversation; conversations it can't help with are free. See pricing.
- Strengths
- Agent takes actions with guardrails; one Knowledge source for help center and AI; private and multilingual help center on Growth, multi-brand on Scale; handoff with full context; Agent can also run inside Zendesk, Salesforce Service Cloud or Freshdesk without migrating
- Watch out for
- No community forum or customer portal; confirm specific connectors on a call
2. Zendesk: best all-in-one suite with help center and community forums
Zendesk covers more self-service layers in one product than most. Suite Professional includes up to five help centers in 40+ languages, community forums with moderation, user segments for restricted content, and AI agents that answer from the help center. Customers can also submit and follow requests through the help center.
The trade-off is cost at scale. AI agents include 5 automated resolutions per agent a month on Suite Team and 10 on Professional; extra resolutions are $2.00 each pay-as-you-go or a lower committed rate. Community forums are not on Suite Team. See our Zendesk pricing guide for the details.
- Best for
- Mid-size and enterprise teams that want help center, community and AI in one suite
- Pricing
- Suite Team $55, Suite Professional $115 per agent/month billed annually; Enterprise custom. Extra automated resolutions $2.00 pay-as-you-go. Checked October 2026.
- Strengths
- Mature help center, community forums on Professional, multiple brands and languages, large app marketplace
- Watch out for
- Community and multiple help centers need Suite Professional; per-resolution AI cost adds up beyond the allowance. Already on Zendesk? Aftersales Agent can run inside it.
3. Intercom: best for in-app self-service in SaaS products
Intercom pairs a help center with Fin, its AI agent, and a messenger that sits inside your product. Fin answers from help center content and other sources and is billed at $0.99 per outcome. The public help center is on every plan; multilingual, multiple and private help centers start on Advanced.
Intercom's in-app messenger, banners and tooltips make it strong for software products where customers need help while they use the app. It has no community forum or customer portal in its pricing. More in our Intercom pricing guide.
- Best for
- SaaS teams that want self-service inside their product
- Pricing
- Essential $29, Advanced $85, Expert $132 per seat/month billed annually. Fin $0.99 per outcome. Checked October 2026.
- Strengths
- Polished messenger and in-app help, Fin AI agent, private help centers on Advanced
- Watch out for
- Seat plus outcome costs; multilingual and multiple help centers need Advanced; no community forum
4. Freshdesk: best value for a help center, portal and forums together
Freshdesk includes a knowledge base and a customer portal on every paid plan, where customers can submit tickets, track them and search articles. Pro and Enterprise add community forums. Freddy AI Agent answers customers, with 500 sessions included and more at $49 per 100 sessions.
For teams that want all three classic self-service pieces (help center, portal, forum) at a lower seat price than Zendesk, Freshdesk is a strong fit. Note that Freddy counts sessions (a unique interaction within a 72-hour window), not resolutions, so you pay for conversations the AI does not resolve too. See Freshdesk pricing.
- Best for
- Small and mid-size teams that want a help center, ticket portal and forums at a moderate price
- Pricing
- Growth $19, Pro $55, Enterprise $89 per agent/month billed annually. Freddy AI Agent: 500 sessions included, then $49 per 100 sessions. Checked October 2026.
- Strengths
- Customer portal on all plans, forums on Pro, multilingual knowledge base
- Watch out for
- AI billed per session rather than per resolution; forums need Pro or Enterprise
5. Salesforce Experience Cloud: best for authenticated customer portals on Salesforce data
Experience Cloud builds branded portals, help centers and communities on top of Salesforce. Logged-in customers can see cases, records and knowledge tied to their account, and Salesforce now promotes Agentforce inside portals so an AI agent can help while customers search.
If your customers need a real account portal (warranty records, case history, partner resources) and your data already lives in Salesforce, this is the strongest option on the list and a better fit than Aftersales for that job. It takes Salesforce admin or partner effort to build, and licensing is negotiated.
- Best for
- Enterprises on Salesforce that need authenticated portals and communities
- Pricing
- Experience Cloud is licensed per member or per login and quoted by Salesforce. Service Cloud runs from $25 to $550 per user/month by edition; Agentforce is priced separately. Checked October 2026.
- Strengths
- Deep portal customization on CRM data, case and knowledge access, communities, Agentforce in the portal
- Watch out for
- Implementation effort and admin skills; pricing not published for portals
6. HubSpot Service Hub: best for teams already running on HubSpot CRM
Service Hub Professional and Enterprise include a knowledge base and a customer portal where customers can view their tickets. Customer Agent, HubSpot's AI agent, answers from your existing content and runs on HubSpot Credits included with paid plans.
The appeal is one CRM: tickets, contacts and articles sit together. The knowledge base and portal start on Professional, which also carries a one-time onboarding fee.
- Best for
- Companies whose sales and marketing already run on HubSpot
- Pricing
- Free for up to 2 users. Starter from $7, Professional from $90, Enterprise from $150 per seat/month billed annually. Onboarding fee $1,500 (Professional) or $3,500 (Enterprise). Checked October 2026.
- Strengths
- CRM-native tickets, knowledge base and portal; Customer Agent across chat, email and forms
- Watch out for
- Knowledge base and portal need Professional; credit-based AI billing takes some modeling; no community forum
7. Zoho Desk: best low-cost suite with forums and a portal
Zoho Desk includes a help center, community forums and a self-service portal from its Standard edition, plus Answer Bot for automated answers. Zia, Zoho's AI, comes in on Professional, and multi-brand help centers on Enterprise.
It is one of the cheapest ways to get forums and a portal in a helpdesk, especially if you already use other Zoho apps.
- Best for
- Budget-conscious teams, and teams already on Zoho
- Pricing
- Free edition for 3 users. Express, Standard, Professional and Enterprise priced per agent per month in local currency, with savings on annual billing. Checked October 2026.
- Strengths
- Forums and portal from Standard, Answer Bot, multi-brand help center on Enterprise
- Watch out for
- Prices vary by region; the strongest AI features need Professional or higher
8. Help Scout: best simple help center for small teams
Help Scout pairs a shared inbox with Docs (its knowledge base) and Beacon, a widget that shows articles before a customer writes in. AI Answers resolves questions from your Docs content for $0.75 per resolution, with a monthly spending cap.
For a small email-first team, it is cheaper per resolution than Aftersales and easy to run. It does not take actions in other systems the way Aftersales Agent does, and it has no forum or portal.
- Best for
- Small teams that want an easy help center and article widget
- Pricing
- Free for 5 users (1 inbox, 1 Docs site). Standard $25, Plus $45, Pro $75 per user/month billed annually. AI Answers $0.75 per resolution. Checked October 2026.
- Strengths
- Simple Docs sites (up to 5 on Pro), Beacon widget, low per-resolution AI price
- Watch out for
- Answer-only AI; no community forum or customer portal
9. Gainsight Customer Communities: best for B2B customer communities
Gainsight Customer Communities (formerly inSided) is a dedicated community platform: forums and Q&A, a knowledge base, idea boards, user groups and product updates. AI Answers surfaces relevant content in search, and it integrates with Zendesk, Salesforce and Jira.
For B2B software companies where customers learn from each other and request features, a community does work no AI agent replaces. It is a better pick than Aftersales for that layer, and it sits next to your helpdesk rather than replacing it.
- Best for
- B2B SaaS companies building a customer community with ideas and Q&A
- Pricing
- Quote only; not published. Checked October 2026.
- Strengths
- Forums, ideation, knowledge base, moderation AI, helpdesk and CRM integrations
- Watch out for
- Not a helpdesk; pricing not public; a community needs ongoing moderation and content
10. Discourse: best open-source community forum
Discourse is a widely used forum platform, available as free open-source software to self-host or as a hosted service. Hosted plans include AI features with daily credit allowances, and Business adds automation and advanced analytics.
It suits product communities, developer forums and open-source projects. It is not a help center or ticketing tool, so pair it with your support platform.
- Best for
- Product and developer communities that want a capable forum at a clear price
- Pricing
- Free hosted plan; Pro $100/month; Business $500/month; Enterprise custom; or self-host the open-source version. Checked October 2026.
- Strengths
- Mature forum software, unlimited members on hosted plans, open source
- Watch out for
- Not a help center or ticketing system; self-hosting needs engineering time
Which self-service layer should you start with?
Start with the layer that handles most of your incoming volume, then add the others. For most consumer brands that is an AI agent backed by a help center. For B2B software it is often a help center plus a community. For regulated or account-heavy businesses it is an authenticated portal.
| Self-service layer | What it handles well | Where it falls short | Tools on this list |
|---|---|---|---|
| Help center | How-to questions, policies, setup guides | Customers must search and read; no account-specific answers | Aftersales, Zendesk, Intercom, Freshdesk, Help Scout, Zoho Desk |
| AI agent | Questions in the customer's own words, any hour; with actions, order and account requests | Only as good as your content and connected data; needs guardrails and handoff | Aftersales Agent, Zendesk AI agents, Fin, Freddy, Customer Agent, Agentforce |
| Community forum | Edge cases, peer tips, feature requests | Needs moderation; slow for urgent issues | Gainsight Customer Communities, Discourse, Zendesk, Freshdesk, Zoho Desk |
| Customer portal | Ticket status, account records, documents behind a login | Build and maintenance effort; customers must log in | Salesforce Experience Cloud, Freshdesk, HubSpot, Zoho Desk |
A help center is the base of everything else. If your articles are thin or outdated, the AI agent repeats the gaps. Our knowledge base software guide covers dedicated documentation tools such as Document360 if you need more authoring depth.
Self-service that finishes the job.Aftersales Agent checks orders, issues refunds and updates accounts within limits you set, and costs $0.99 only when it resolves the conversation.
What does AI self-service cost for a 5-person team?
For a team of 5 agents handling 2,000 conversations a month, where the AI resolves 60% (1,200 conversations), list prices work out roughly as follows. These are illustrative assumptions, not quotes.
| Tool and plan | Seats | AI cost | Monthly total |
|---|---|---|---|
| Aftersales Growth | 5 × $69 = $345 | 1,200 × $0.99 = $1,188 | About $1,533 |
| Intercom Advanced + Fin | 5 × $85 = $425 | 1,200 × $0.99 = $1,188 | About $1,613 |
| Zendesk Suite Professional | 5 × $115 = $575 | 50 included, 1,150 × $2.00 = $2,300 pay-as-you-go | About $2,875 (less with a committed rate) |
| Help Scout Plus + AI Answers | 5 × $45 = $225 | 1,200 × $0.75 = $900 | About $1,125 |
Annual billing list prices, checked October 2026. Assumes each vendor counts one resolution or outcome per resolved conversation. Freshdesk is left out because Freddy bills per session, including sessions it does not resolve.
Help Scout is cheaper here because its AI answers questions but does not take actions. If many of your conversations need an order lookup, a refund or an account change, compare what share each tool can actually resolve, since that drives the total more than the unit price. You can model your own numbers on our pricing page.
Which self-service software is best for your use case?
- AI self-service that takes actions (orders, refunds, account changes): Aftersales.
- One suite with help center, community and AI: Zendesk Suite Professional. Already on Zendesk? Aftersales Agent can run inside it, see Zendesk alternatives.
- In-app help for a SaaS product: Intercom.
- Help center, ticket portal and forums on a budget: Freshdesk or Zoho Desk.
- Authenticated customer portal on CRM data: Salesforce Experience Cloud. It is a better fit than Aftersales for this job.
- Teams on HubSpot CRM: HubSpot Service Hub Professional.
- Small email-first team with a simple help center: Help Scout.
- B2B customer community with ideas and Q&A: Gainsight Customer Communities. A dedicated community tool beats Aftersales here.

- Large product documentation: a dedicated knowledge base such as Document360, covered in our knowledge base guide.
Many teams combine two tools: a support platform with a help center and AI agent, plus a community or portal for the jobs it doesn't cover. More reviews on the blog.
