What is WhatsApp customer service software?
WhatsApp customer service software connects your business number to the WhatsApp Business Platform (the API) so a team, an AI agent or both can answer customers from one shared queue. The free WhatsApp Business app works on a phone for a handful of people; once you need several agents, routing, automation or reporting, you need the Platform and a tool built on it.
Three rules from Meta shape every tool on this list:
- The 24-hour customer service window. When a customer messages you, a window opens. While it is open you can reply with free-form messages. Once 24 hours pass without a customer message, you can only send approved templates. See Meta's pricing documentation.
- Templates. Template messages are the only messages you can send outside an open window, and each one is approved and categorised as marketing, utility or authentication. Meta's template fundamentals page covers the rules.
- Per-message pricing. Since July 1, 2025 Meta charges per delivered template message, by category and the recipient's country. Non-template replies inside an open window are free, and utility templates sent inside an open window are free too.
For support teams this is good news: most service conversations start with the customer, so replies inside the window cost nothing from Meta. What you pay for is the software, any markup your provider adds, and outbound templates such as shipping updates or follow-ups after the window closes.
Should you use a BSP or a helpdesk for WhatsApp?
Business Solution Providers (BSPs) such as Twilio, WATI and AiSensy give you access to the WhatsApp Business Platform, usually with template management, broadcasts and a basic inbox. Helpdesks such as Aftersales, Zendesk, Intercom and Freshdesk connect WhatsApp to a full support workspace with tickets, SLAs, other channels and reporting. Messaging platforms such as respond.io and Trengo sit between the two.
- Choose a BSP-first tool when WhatsApp is your main or only channel, you send a lot of broadcasts and campaigns, and support is handled by a small team.
- Choose a helpdesk when WhatsApp is one channel among email, chat, phone and social, and you need one customer history, SLAs and an AI agent that can act on orders or accounts.
- Choose an API such as Twilio when your engineers want to build their own experience and wire it into internal systems.
Also check how each vendor bills Meta's fees. Some pass them through at cost, some add a percentage, and some charge their own fee per message on top.

How did we compare these WhatsApp tools?
We looked at tools that support teams actually use to answer customers on the WhatsApp Business Platform, then checked each vendor's own site for features and pricing. We scored them on six things:
- Support workflow: shared inbox, assignment, SLAs and customer history across channels.
- AI that resolves: whether AI answers only from documents or can also look up orders, issue refunds and hand off cleanly.
- WhatsApp depth: templates, broadcasts, the 24-hour window, multiple numbers.
- Other channels: whether WhatsApp sits next to email, chat, phone and social.
- Total cost: seats, AI fees and how Meta's fees are billed.
- Fit by team: who the tool is clearly built for, including where a specialist beats a generalist.
Aftersales is our product, so it is listed first. We say where other tools are the better pick.
The 9 best WhatsApp customer service software tools
1. Aftersales: best for support teams that want WhatsApp conversations resolved, not just answered
Aftersales puts WhatsApp in the same Inbox as email, web and in-app chat, SMS, phone, social DMs and Slack Connect, so a customer who emails on Monday and messages on WhatsApp on Tuesday is one history. Agent reads intent, sentiment and language from the first message in 31 languages and follows procedures you write in plain language. It can verify an order in Shopify, create a replacement or issue a Stripe refund within the spend limits you set.
When Agent hands off, the person gets the conversation, the data Agent looked up and what it already tried. Copilot drafts replies that cite their sources and translates in 31 languages, which matters on WhatsApp where customers write in their own language. Insights tracks resolution rate and cost per conversation across channels. Median resolution by Agent is 71% after 90 days.
Where it is weaker: Aftersales is a support platform, not a WhatsApp marketing tool. If you mainly send broadcasts and campaigns, respond.io, WATI or AiSensy are built for that. If your team only uses WhatsApp and never email or chat, a WhatsApp-first tool will be simpler and cheaper. Confirm how your WhatsApp number is set up and how Meta's fees are billed on a call.
- Best for
- Support teams handling WhatsApp alongside email, chat and phone who want an AI agent that takes actions
- Pricing
- Free plan (1 seat, live chat + email inbox, first 50 Agent resolutions free). Starter $24, Growth $69, Scale $109 per seat/month billed annually. Agent $0.99 per resolution, counted once per conversation; conversations Agent can't help with are free. See pricing.
- Strengths
- Agent actions in Shopify and Stripe with guardrails; escalation rules on sentiment, keywords, customer tier and legal language; one inbox for every channel; GDPR DPA, US-hosted.
- Watch out for
- Not a broadcast or campaign tool. Free plan covers live chat and email; confirm WhatsApp setup and Meta fee billing on a call.
2. respond.io: best for WhatsApp-heavy teams that sell and support in the same conversation
respond.io is a conversation platform built around messaging apps. It brings WhatsApp, Instagram, Facebook, TikTok, email and calls into one inbox, with workflows for assignment and lead capture, broadcasts and CSAT surveys in the chat. Its AI Agents answer questions, qualify leads, book appointments and update CRM records.
It is a better fit than Aftersales when WhatsApp drives sales as much as support, for example in markets where customers buy over chat, and when you send regular broadcasts. Pricing is per workspace with a set number of users and contacts, and respond.io says it does not mark up Meta's WhatsApp fees.
- Best for
- Sales-and-support teams in messaging-first markets
- Pricing
- Starter $79, Growth $159, Advanced $279 per month; Enterprise custom. Extra users $12-24/month. AI credits included on Growth and up, $15 per 1,000 extra credits. Meta fees billed separately at cost. 7-day free trial.
- Strengths
- Deep messaging-app coverage, broadcasts, workflows, AI agents included on most plans.
- Watch out for
- Priced by contacts as well as users, so costs grow with your audience. Less of a traditional ticketing helpdesk.
3. WATI: best for small businesses that want an affordable WhatsApp inbox and broadcasts
WATI is a Meta Business Partner that gets you onto the WhatsApp Business API with a team inbox, no-code chatbots, broadcasts and Astra AI agents. It also covers Instagram, Messenger, web chat and RCS, and lists integrations with Shopify, HubSpot, Salesforce and Zapier.
For a small team whose customers mostly arrive on WhatsApp, WATI is quicker and cheaper to start with than a full helpdesk. Its strength is campaigns and simple automation; teams that need SLAs, multi-channel ticket history and an AI agent that issues refunds will outgrow it.
- Best for
- Small and mid-size businesses running WhatsApp as their main channel
- Pricing
- Growth about $29, Pro about $99, Business about $299 per month billed annually (3-5 users included); monthly billing costs more. AI credits included (2,000 to 20,000). WhatsApp messages charged per message by country and category. 7-day free trial.
- Strengths
- Fast setup, broadcasts, chatbot builder, AI agents, Shopify and CRM integrations.
- Watch out for
- Helpdesk features such as SLAs and deep reporting are lighter. Check the rate card for message fees in your markets.
4. Trengo: best for European teams that want an official BSP and omnichannel inbox in one
Trengo is a European-owned Meta Business Partner and WhatsApp BSP with a shared inbox for WhatsApp, email, live chat, SMS, VoIP and social. Its HelpMate AI agent and AI Journeys automate FAQs, and Trengo adds translation and summaries. Pro plans can trigger third-party AI actions through external APIs.
Trengo suits teams that want WhatsApp onboarding and the inbox from one vendor. Pricing is per workspace with included users and conversations, plus a fee for AI-handled conversations, so model your volume before signing. See our Trengo alternative page for a direct comparison.
- Best for
- European SMB and mid-market teams that want WhatsApp and other channels from one BSP
- Pricing
- Boost €299, Pro €499 per month billed annually (€349 and €599 monthly), with 10 and 20 users and 500 and 1,500 conversations a month. AI conversations €0.25 annual (€0.30 monthly) each. Extra users €30-50/month. Free trial.
- Strengths
- Official BSP, omnichannel inbox, AI journeys, translation.
- Watch out for
- Conversation caps and per-AI-conversation fees add up at volume.
5. Zendesk: best for large support organisations already on Zendesk
Zendesk includes WhatsApp in its messaging channels from Suite Team up, so WhatsApp conversations become tickets with the same routing, SLAs, macros and reporting as the rest of the queue. AI agents can answer on WhatsApp, with automated resolutions included per agent and billed beyond that. Zendesk says WhatsApp fees are billed to it and passed through to the business.
If your team already runs on Zendesk, adding WhatsApp there is the simplest path. If the AI is the gap, Aftersales Agent can run inside Zendesk with no seats and no migration. See Zendesk pricing and our Zendesk alternative page.
- Best for
- Large, process-heavy support teams with complex routing
- Pricing
- Suite Team $55, Suite Professional $115 per agent/month billed annually; Enterprise custom. 5-10 automated resolutions per agent/month included, then $2.00 each pay-as-you-go (lower with a commitment). WhatsApp fees passed through.
- Strengths
- Mature ticketing, routing, SLAs, marketplace of apps, enterprise controls.
- Watch out for
- Per-agent pricing plus resolution fees gets expensive. WhatsApp broadcasts are not its focus.
6. Intercom: best for SaaS teams that want WhatsApp next to in-app chat
Intercom connects WhatsApp to its Inbox and lets Fin, its AI agent, answer there as it does in the Messenger. Inbound WhatsApp conversations and replies from the Inbox are not metered; bulk outbound WhatsApp sent from proactive campaigns is charged per message, starting at $0.10 and falling with volume.
It fits product-led software companies whose customers mostly use in-app chat and occasionally switch to WhatsApp. For ecommerce teams that need order actions on WhatsApp, Aftersales or a Shopify-focused tool is a closer fit. See Intercom pricing.
- Best for
- SaaS and app companies with in-app chat at the centre
- Pricing
- Essential $29, Advanced $85, Expert $132 per seat/month billed annually. Fin $0.99 per outcome. Bulk outbound WhatsApp metered per message.
- Strengths
- Polished Messenger and Inbox, Fin AI agent, strong product tours and in-app messaging.
- Watch out for
- Seats plus outcomes plus metered outbound can be hard to forecast.
7. Freshdesk Omni: best for mid-size teams that want a lower per-agent helpdesk with WhatsApp
Freshdesk Omni brings WhatsApp, email, chat, phone and social into one ticketing workspace with Freddy AI Agent for automated answers. WhatsApp is available on the Growth, Pro and Enterprise plans, and paid accounts can add up to 50 numbers.
The per-agent price is lower than Zendesk's, which makes it a common pick for mid-size teams. Note the WhatsApp billing: Freshworks applies a 20% markup to the WhatsApp cost billed by Meta. See Freshdesk pricing.
- Best for
- Mid-size support teams that want a full helpdesk at a moderate seat price
- Pricing
- Growth $29, Pro $79, Enterprise $119 per agent/month billed annually. Freddy AI Agent: first 500 sessions included, then $49 per 100 sessions. 20% markup on Meta's WhatsApp fees.
- Strengths
- Full ticketing, omnichannel, many numbers per account, familiar admin.
- Watch out for
- Session-based AI pricing and the WhatsApp markup add to the seat price.
8. Twilio: best for engineering teams building their own WhatsApp experience
Twilio is an API, not a helpdesk. It gives developers programmable access to the WhatsApp Business Platform alongside SMS and voice, and you build the inbox, bot or routing yourself or plug Twilio into another tool.
Choose it when you have engineers and want full control over the experience and data flow. Twilio charges a flat fee per message in either direction on top of Meta's template fees, so every inbound support message carries a small cost too.
- Best for
- Product and engineering teams building custom messaging
- Pricing
- Pay as you go: $0.005 per message, inbound or outbound, plus Meta's template fees passed through.
- Strengths
- Flexible API, global scale, WhatsApp next to SMS and voice in one account.
- Watch out for
- No inbox or AI agent out of the box; you build and maintain them.
9. AiSensy: best for India-based businesses on a tight budget
AiSensy is a WhatsApp Business API platform popular with Indian businesses. It offers a team inbox, broadcasts, a drag-and-drop chatbot builder and an AI agent builder that answers from a knowledge base. It lists a free forever plan, with chatbot and AI add-ons priced in rupees and WhatsApp messages paid for in advance.
It is a better fit than any helpdesk here if WhatsApp is your only channel, your customers are mostly in India and campaigns matter as much as support. Larger teams will want more routing, reporting and channel coverage.
- Best for
- Indian SMBs running WhatsApp campaigns and simple support
- Pricing
- Free forever plan. Chatbot builder ₹2,250/month and AI Agent builder ₹1,215/month billed annually. Prepaid WhatsApp message credits at Meta's per-message rates for India.
- Strengths
- Low cost, broadcasts, chatbot builder, fair-use unlimited agents.
- Watch out for
- WhatsApp-first, light helpdesk features, pricing and support tuned for India.
Run WhatsApp from the same inbox as email and chat.Aftersales Agent resolves routine conversations at $0.99 per resolution and hands the rest to your team with context attached.
How much does WhatsApp customer service cost for a 5-person team?
For a 5-person support team handling 3,000 inbound WhatsApp conversations a month, software and AI costs at list prices look roughly like this. Assumptions: AI resolves half of conversations (1,500), annual billing, and all replies happen inside the 24-hour window, so Meta charges nothing for them under its per-message pricing.
| Tool | Seats | AI | Monthly total |
|---|---|---|---|
| Aftersales Growth | 5 x $69 = $345 | 1,500 x $0.99 = $1,485 | $1,830 |
| Intercom Advanced | 5 x $85 = $425 | 1,500 x $0.99 = $1,485 | $1,910 |
| Zendesk Suite Professional | 5 x $115 = $575 | 1,450 x $2.00 = $2,900 (50 included) | $3,475 |
Example only, list prices checked October 2026. Zendesk resolutions at the pay-as-you-go rate; committed volume lowers it.
WhatsApp-first tools such as respond.io, WATI and AiSensy cost far less on paper because they price per workspace and include AI credits, but they cover less of the helpdesk. Outbound templates such as delivery updates add Meta's fees on every tool, plus Freshworks' 20% markup or Twilio's per-message fee where those apply. With Aftersales, AI cost follows what Agent actually resolves: conversations it can't help with are free. Track the result with resolution rate.
