What is an AI email responder for customer service?
An AI email responder for customer service reads an incoming support email, works out what the customer wants, and either sends a reply on its own or drafts one for a person to check. The useful ones ground every answer in your help center, past replies and order or account data, and hand the thread to a human when they are unsure.
There are two ways to run one, and most teams end up using both:
- Autonomous (AI sends): the AI replies to the customer directly and closes the email when it is resolved. This is where the time savings are, and where guardrails matter most: what it may answer, what it may do (refunds, address changes), and when it must hand off.
- Human in the loop (AI drafts): the AI writes a draft inside the ticket and an agent edits and sends it. Slower, but a safe way to start, and the right mode for sensitive topics such as complaints, legal threats or high-value customers.
Email is harder for AI than chat in a few specific ways. One email often holds three questions. Threads carry quoted history and signatures the AI has to ignore. Customers write long, and they write once, so a vague answer costs a full round trip of hours, not seconds. When you compare tools, test them on your own messiest emails, not on the demo.
If you mainly need help triaging a busy inbox rather than answering it, see our list of email management software for customer service.

How did we compare these AI email responders?
We looked only at tools that put AI on customer service email: a support address answered by a team, not a personal inbox. Personal AI email assistants that draft replies in your own Gmail are a different category. For each tool we checked the vendor's own pricing page and documentation for:
- Autonomy: can the AI send an email reply and resolve the ticket without a person, and can you limit that to certain topics?
- Drafting: can agents get a draft inside the ticket for the emails the AI should not send alone?
- Actions: can it do the thing the customer asked for (check an order, issue a refund, change an address), or only write about it?
- Handoff and guardrails: what triggers a handoff, and what the agent sees when it happens.
- Pricing model: per resolution, per conversation, per session, per credit or bundled into seats, and what that means at a few thousand emails a month.
- Where it runs: its own helpdesk, a layer on top of your existing one, or inside Gmail.
We did not score tools on accuracy ourselves. Resolution rates depend on your knowledge base and email mix, so run a trial on your own past emails before you trust any number, including ours.
The 10 best AI email responders for customer service
1. Aftersales: best for teams that want AI to send, draft and act on support email in one place
Aftersales gives you both modes. Agent is the autonomous side: it reads each incoming email, understands intent, entities, sentiment and language from the first message in 31 languages, and resolves what it can end to end. Copilot is the human-in-the-loop side: it drafts replies that cite their sources, summarizes long threads and translates, so an agent can check and send. Teams using Copilot on every conversation see a 2.4× faster median reply (Aftersales' own figure).
The difference from a writing-only responder is actions. You describe a procedure in plain language, or import an existing macro, and Agent turns it into steps that call Shopify (look up and verify an order, create a replacement), Stripe (refunds) or Salesforce, with explicit permissions per step. Guardrails cover spend limits, brand voice, banned phrases, and escalation rules triggered by sentiment, keywords, customer tier or legal language. When Agent hands off, the agent in the Inbox gets the email, the data Agent looked up and what it already tried.
For email, the billing detail matters: a resolution is counted once per conversation however many questions the email contained, and conversations Agent can't help with are free. Median resolution is 71% after 90 days.
Where it is weaker: if your team runs on Gorgias and wants to stay there, Gorgias AI Agent or Yuma AI fit without a move (Aftersales Agent runs inside Zendesk, Salesforce Service Cloud or Freshdesk, not Gorgias). If you want to stay inside Gmail, Hiver is closer. If you only want drafts and never autonomous replies, Help Scout's AI Drafts on the Plus plan is a simpler buy.
- Best for
- Support teams that want autonomous email replies for routine questions, drafts for the rest, and AI that can take order and refund actions
- Pricing
- Free plan (1 seat, live chat + email inbox, first 50 Agent resolutions free). Starter $24, Growth $69, Scale $109 per seat/month billed annually (monthly is 20% more). Agent $0.99 per resolution, counted once per conversation; conversations Agent can't help with are free. Copilot $29/rep/month annual ($35 monthly); every plan includes 10 Copilot and 10 translation conversations per rep per month. Agent alone inside Zendesk, Salesforce Service Cloud or Freshdesk: $0.99 per resolution with a minimum monthly commitment. See pricing.
- Strengths
- Autonomous and draft modes in one product; actions in Shopify, Stripe and Salesforce with spend limits; escalation on sentiment, keywords, tier or legal language; handoff with context; one queue for email and every other channel; GDPR DPA.
- Watch out for
- Founded in 2024, so a shorter track record than Zendesk or Intercom. No native Gorgias integration. Other systems connect through the Aftersales API or webhooks; confirm specific connectors on a call.
2. Intercom Fin: best for a mature AI agent that answers email on any helpdesk
Fin is Intercom's AI agent, and Intercom says it answers email as well as live chat and phone. It is billed per outcome: when a customer confirms the answer resolved their question, does not ask for more help, or Fin completes a workflow. You can run Fin on Intercom's own helpdesk or on top of another helpdesk, where a minimum monthly commitment applies. Intercom's Copilot drafts answers for human agents.
Choose it over Aftersales if you already run Intercom's messenger and helpdesk, or want the most established per-outcome AI agent. Aftersales is the closer fit if you want order and refund actions in Shopify and Stripe set up as plain-language procedures, or free Lite seats for teammates who only approve. See our Intercom alternative page and Intercom pricing breakdown.
- Best for
- Teams that want an established AI agent on email and chat, on Intercom or another helpdesk
- Pricing
- Fin $0.99 per outcome. Intercom seats: Essential $29, Advanced $85, Expert $132 per seat/month billed annually. Copilot $29/agent/month annual ($35 monthly), with 10 free conversations per agent per month. Fin on another helpdesk has a minimum monthly commitment.
- Strengths
- Per-outcome billing; works across email, chat and phone; runs on other helpdesks; Copilot for drafts.
- Watch out for
- Outcome definition includes customers who simply do not reply, so review what counts. Seats and Fin are billed separately.
3. Zendesk AI agents: best for large email teams already standardized on Zendesk
Zendesk sells AI agents for email that classify, route and resolve email queries, included in all Suite plans with a small allowance of automated resolutions per agent. Beyond that you pay per automated resolution. Copilot, which suggests replies and actions to human agents, is a separate add-on.
Pick it if Zendesk is your system of record and you want one vendor. The trade-off is cost at volume: the pay-as-you-go rate is about double the per-resolution price of Aftersales, Fin or Gorgias. If you want to keep Zendesk but pay less per resolution, Aftersales Agent can run inside Zendesk with no seats and no migration. See Zendesk pricing.
- Best for
- Large teams on Zendesk that want AI on email from the same vendor
- Pricing
- Suite Team $55 and Suite Professional $115 per agent/month billed annually ($69 and $149 monthly), with 5 and 10 automated resolutions per agent per month. Extra resolutions $2.00 pay-as-you-go, lower committed rates via sales. Copilot $50 per agent/month billed annually.
- Strengths
- AI agents built for email triage and resolution; mature routing, SLAs and reporting; large integration marketplace.
- Watch out for
- Pay-as-you-go resolutions are expensive at volume. Copilot is an extra per-agent cost.
4. Front: best for shared-inbox teams that want autopilot replies on chosen topics
Front is a shared inbox that many B2B and operations teams use for email. Its AI agent, Autopilot, can automatically reply to conversations tagged with chosen Topics, using connected knowledge and similar past conversations, and passes the conversation to a teammate if it cannot generate a reply. Front's documentation lists email among the supported channels. Copilot gives agents real-time suggestions, and Front's AI Compose helps polish drafts.
Topic-based autopilot is a sensible way to go autonomous gradually: you switch it on for "where is my invoice" before you switch it on for anything risky. Front fits teams whose inbox mixes support with account management and ops. Aftersales is the closer fit for consumer support with order and refund actions. See our Front alternative page.
- Best for
- Client-facing teams in a shared email inbox that want to automate specific topics
- Pricing
- Starter $25 (up to 10 seats), Professional $65 (up to 50 seats), Enterprise $105 per seat/month, with a discount for annual billing. Autopilot from $0.05 per conversation. Copilot $20/seat/month add-on, included in Enterprise.
- Strengths
- Topic-level control over what the AI answers alone; strong shared-inbox collaboration; omnichannel.
- Watch out for
- Seat caps on Starter and Professional. Check how Autopilot usage is metered at your volume.
5. Gorgias AI Agent: best for Shopify brands that already run support in Gorgias
Gorgias AI Agent can be connected to one or more support email addresses; it monitors the inbox and replies to shoppers from the same address, including emails from contact forms linked to it. It can update orders, change addresses and send order and return statuses, and agents can see the knowledge it used and the actions it took in the ticket.
If you are on Gorgias and happy with it, this is the low-friction choice, and Aftersales does not run inside Gorgias. The catch is pricing: every automated interaction is billed and also counts toward your helpdesk ticket allowance. See Gorgias pricing and our Gorgias alternative page.
- Best for
- Shopify stores already on Gorgias that want AI to answer order emails
- Pricing
- Helpdesk plans by ticket volume: Starter $10/month (50 tickets, monthly only), Basic $50, Pro $300, Advanced $750 per month billed annually (300, 2,000 and 5,000 tickets). AI Agent $0.90 per automated interaction on annual plans, $1.00 monthly; each interaction also counts as a ticket.
- Strengths
- Native to Gorgias; order actions for ecommerce; shows sources and actions in the ticket.
- Watch out for
- Double counting against your ticket allowance. Built for ecommerce, less suited to SaaS or B2B email.
6. Hiver: best for support teams that want AI email replies without leaving Gmail
Hiver started as a shared inbox inside Gmail and now also offers a standalone omnichannel version. On its own site, Hiver says AI Agents and AI Copilot are included in every paid plan, with automated AI resolutions priced separately per resolution. For a team that lives in Gmail and does not want a new app, that is the main appeal.
Aftersales is a separate app, so it asks more of a Gmail-native team. In return you get Shopify, Stripe and Salesforce actions and escalation rules on sentiment, tier and legal language. See our Hiver alternative page.
- Best for
- Teams that answer support email in Gmail and want AI drafts and autonomous replies there
- Pricing
- Growth $25, Pro $55, Elite $85 per user/month billed annually. AI Agents and AI Copilot included on paid plans; automated AI resolutions $0.80 each, per Hiver's site. Free plan available.
- Strengths
- Works inside Gmail; AI Copilot included rather than a per-seat add-on; low per-resolution price.
- Watch out for
- Hiver's pricing page blocked our checks, so we relied on Hiver's own comparison pages; confirm current prices and what counts as a resolution.
7. Freshdesk Freddy AI Agent: best for Freshdesk teams that want AI email with sessions included
Freshdesk's Freddy AI Agent can run on email, and every Freshdesk plan includes the first 500 sessions. Freshdesk defines an email AI Agent session as a 72-hour window starting from the customer's first email. Freddy AI Copilot drafts and assists human agents on the Pro and Enterprise plans.
The included sessions make it cheap to try. Note that sessions are counted whether or not the email ends up resolved, unlike per-resolution pricing. If you want to stay on Freshdesk, Aftersales Agent can also run inside it with no seats. See Freshdesk pricing.
- Best for
- Freshdesk customers that want to start AI email replies with a free allowance
- Pricing
- Growth $19, Pro $55, Enterprise $89 per agent/month billed annually. Freddy AI Agent: first 500 sessions included, then $49 per 100 sessions. Freddy AI Copilot $29 per agent/month annual (Pro and Enterprise).
- Strengths
- 500 sessions included on every plan; low seat prices; Copilot for drafts.
- Watch out for
- Billed per session, not per resolution. Copilot only on Pro and above.
8. Help Scout: best for small teams that only want AI drafts, not autonomous email
Help Scout's AI Drafts writes a reply to any conversation in one click, using your knowledge base, website and your team's past replies. You read, edit and send. Unlimited AI Drafts are on the Plus plan. Help Scout's autonomous AI Answers works in its chat widget; at the time of checking, Help Scout described AI agents for email as coming soon.
If your goal is a human-in-the-loop email responder for a small team at a low price, this is the simplest pick on the list. If you want the AI to send and resolve emails on its own today, Aftersales, Fin or Zendesk do that. See our Help Scout alternative page.
- Best for
- Small, email-first teams that want AI drafts with a person sending every reply
- Pricing
- Free plan (5 users, 1 inbox, 1 Docs site). Standard $25, Plus $45, Pro $75 per user/month on annual billing. AI Answers $0.75 per resolution with a 3-month free trial.
- Strengths
- Drafts learn from your past replies; simple, well-liked email helpdesk; generous free plan.
- Watch out for
- No autonomous email replies yet. AI Answers is chat-first.
9. Yuma AI: best for ecommerce brands that want outcome-priced AI inside their current helpdesk
Yuma AI is an AI layer for ecommerce support. It works inside helpdesks including Gorgias, Zendesk, Kustomer, Salesforce Service Cloud, Re:amaze, Gladly, Front and Zoho Desk, resolves tickets end to end by taking actions in connected systems, and runs quality checks on each response before it reaches the customer. Yuma says brands pay only for tickets fully resolved by AI.
It is a strong option for Shopify, WooCommerce or Magento brands on Gorgias, where Aftersales does not run. Pricing is quote only, so compare it per resolution against Aftersales' $0.99 list price.
- Best for
- Ecommerce brands that want autonomous email replies in their existing helpdesk, priced on outcomes
- Pricing
- Pay per ticket fully resolved by AI; quote only. 30-day trial with setup by an account manager.
- Strengths
- Works in many helpdesks including Gorgias; ecommerce actions; quality checks before sending.
- Watch out for
- No public price list. Built for ecommerce, not SaaS or B2B.
10. eesel AI: best for testing AI on past tickets before it sends anything
eesel AI plugs into helpdesks such as Zendesk, Freshdesk, Gorgias, Intercom and Help Scout. Its recommended path suits cautious email teams: run the AI against your past tickets to see where it is strong, start with drafts that agents approve or reject, then switch to autonomous replies on the easy tickets. It also triages tickets.
Pricing is credit-based, with a ticket or chat counted as one credit however long, so cost tracks volume handled rather than resolutions. Aftersales charges only when Agent resolves the conversation.
- Best for
- Teams that want to simulate on history and move from drafts to autonomy in steps, without changing helpdesk
- Pricing
- Free plan with 100 credits, no card. Teammate plan from $299/month (credit tiers up to $1,749/month); a ticket or chat is 1 credit. Enterprise custom.
- Strengths
- Simulation on past tickets; draft-then-autonomous rollout; unlimited agents and seats; works across several helpdesks.
- Watch out for
- Credits are used whether or not a ticket is resolved, and unused credits do not roll over. SSO and priority support are paid add-ons.
Start with drafts, switch on autonomy when you trust it. Aftersales' free plan includes the first 50 Agent resolutions, so you can see Agent on your own email before you pay.
How much does an AI email responder cost for 2,000 emails a month?
Example: a team of 5 agents handles 2,000 support emails a month, and the AI resolves half of them on its own (1,000 resolutions). List prices, annual billing, no add-ons unless stated.
| Tool and plan | Seats or platform | AI usage | Monthly total |
|---|---|---|---|
| Aftersales Growth | 5 × $69 = $345 | 1,000 × $0.99 = $990 | $1,335 |
| Intercom Advanced + Fin | 5 × $85 = $425 | 1,000 × $0.99 = $990 | $1,415 |
| Zendesk Suite Professional | 5 × $115 = $575 | 50 included, 950 × $2.00 = $1,900 | $2,475 |
| Gorgias Pro + AI Agent | $300 (2,000 tickets) | 1,000 × $0.90 = $900 | $1,200 |
| Hiver Pro | 5 × $55 = $275 | 1,000 × $0.80 = $800 | $1,075 |
Example only. Checked October 2026. Zendesk committed rates from sales are lower than pay-as-you-go. Gorgias counts each AI interaction as a ticket, which this example fits inside the Pro allowance. Freshdesk, Front, Yuma and eesel are left out because they meter sessions, conversations or credits, or quote privately.
Two things move the total more than the list price. First, resolution rate: at 30% instead of 50%, every per-resolution tool costs less in AI but needs more human time. Second, how a tool counts an email. Aftersales counts one resolution per conversation however many questions the email held; session- and credit-based tools charge for emails the AI touched but did not resolve. Add Copilot ($29 per rep per month on Aftersales) if you also want drafts on every human reply. Read more on improving resolution rate.

Should AI send email replies on its own or draft them for review?
Start in draft mode on everything, then let the AI send on its own one topic at a time. A four-week plan that works for most teams:
- Week 1, ground it. Clean up the help center articles and macros behind your top 10 email reasons. The AI can only be as right as its sources.
- Week 1, set guardrails. Decide what always goes to a person: legal language, chargebacks, complaints, VIP customers, anything over a refund limit you choose.
- Week 2, drafts only. Have agents use AI drafts on every email and note where they rewrite them. Those notes are your knowledge gaps.
- Week 3, go autonomous on two or three topics, such as order status or password resets, where drafts were sent unedited most of the time.
- Week 4, review and widen. Read a sample of autonomous replies, check CSAT on AI-resolved emails against human ones, and add the next topics.
In Aftersales, Copilot covers the draft stage and Agent the autonomous stage, with escalation rules for the topics you keep human. See Insights for CSAT on AI and human conversations side by side.
