Best email management software for customer service in 2026: 10 tools for email-heavy support

Email is still where most support work piles up. We compared ten tools on shared mailboxes, rules, AI drafting and AI that resolves email, starting with the Aftersales Inbox. For lighter Gmail tools, see the best shared inbox software.

What is email management software for customer service?

Email management software for customer service turns a support address into a managed queue: every email gets an owner, a status and a deadline, rules sort and route it before a person reads it, and AI drafts or sends the reply. It is the step up from a shared Gmail login or an Outlook shared mailbox, where nobody can see who is answering what.

For an email-heavy support team, four jobs matter most:

  • Shared mailboxes: connect support@, billing@ and returns@ to one workspace with assignment, internal notes and collision detection, so two people never answer the same customer.
  • Rules: tag, prioritize and route each email by sender, keyword, customer tier or mailbox, and set SLA timers that warn before a reply is late.
  • AI drafting: suggest a reply from your help center and past answers, summarize long threads and translate, with a person approving before send.
  • AI resolution: an AI agent answers the routine emails on its own (order status, refunds, account changes) and hands the rest to a person.

Most tools now cover the first three. The fourth, and how it is billed, is where they split. If your main need is a collaborative inbox rather than a support desk, our list of the best shared inbox software covers lighter Gmail-based tools.

Checked October 2026 on each vendor's own pricing page, except Hiver (see its card). Prices are per user, seat or agent per month on annual billing unless noted. Confirm current prices on each vendor's site.

How did we compare email management software?

We scored each tool as if it were running a support address that receives a few thousand customer emails a month, and we checked plans and prices on each vendor's own pricing page in October 2026. Where a vendor shows prices only by region or behind a sales call, we describe the model instead of guessing a number.

  • Mailbox handling: how many addresses you can connect, assignment, internal notes and collision detection.
  • Rules: how much routing, tagging and SLA logic you get, and which plan unlocks it. Rule caps on entry plans count against a tool.
  • AI drafting: whether drafts are included or a per-seat add-on, and whether they use your own knowledge.
  • AI resolution: whether an AI agent can answer emails without a person, whether it can take actions, and how it is billed.
  • Total cost: seats plus AI for a realistic team, not the cheapest plan on the page.
  • Fit: the kind of team each product is clearly designed for.

Aftersales is our product, so it is listed first. Several tools below beat it for specific situations, and the cards and the use-case section say where.

The 10 best email management software tools for customer service

1. Aftersales: best for email-heavy support teams that want AI to resolve, not just draft

In Aftersales, each connected address lands in the shared Inbox next to chat, WhatsApp, SMS, phone and social DMs, with tickets, views and SLAs. Company metadata such as plan, ARR, region and custom fields shows up as filters and columns, so a rule or a view can treat an enterprise customer's email differently from a free user's. Workflows assign, tag, set an SLA, post to Slack, create a Jira issue or call a webhook; round-robin assignment is on Growth and up.

For AI, there are two layers. Copilot drafts replies that cite their sources, summarizes long threads and translates in 31 languages. Agent goes further: it reads the email, works out intent, entities and sentiment, and resolves it end to end, including actions such as verifying a Shopify order, creating a replacement or issuing a Stripe refund within the spend limits you set. Escalation rules fire on sentiment, keywords, customer tier or legal language, and the person who picks it up sees what Agent looked up and tried. You pay $0.99 per resolution, counted once per conversation, and emails Agent can't help with are free. Median resolution is 71% after 90 days.

Where it is weaker: Aftersales is a separate app, so a team that wants to keep working inside Gmail will be happier with Hiver. Amazon and eBay sellers whose email arrives through marketplace messaging are better served by eDesk, which connects those marketplaces directly. And if the shared inbox is mainly for sales or account management rather than support, Front is a closer fit.

Best for
Support teams that answer a high volume of customer email and want routine emails resolved, with actions, by AI
Pricing
Free plan (1 seat, live chat + email inbox, first 50 Agent resolutions free). Starter $24, Growth $69, Scale $109 per seat/month billed annually (monthly is 20% more). Agent $0.99 per resolution on every plan. Copilot add-on $29/rep/month annual; every plan includes 10 Copilot conversations per rep per month. 14-day free trial. See pricing.
Strengths
AI agent that takes actions with spend guardrails and escalation rules; drafts that cite sources; company metadata as filters; Slack side conversations; free Lite seats (20 on Growth, 50 on Scale) for people who only comment or approve; GDPR DPA and US-hosted data.
Watch out for
Not a Gmail extension. Round-robin and unlimited team inboxes need Growth. Copilot beyond the included 10 conversations per rep is an add-on. Confirm niche integrations on a call.

2. Help Scout: best for small email-first teams that want AI drafts included

Help Scout keeps replies looking like a personal email to the customer while the team gets assignment, notes, saved replies and workflows behind the scenes. AI Drafts, AI Summarize and AI Assist (tone, expansion, translation) are part of the plans; Plus lifts the cap to unlimited AI drafts and adds round-robin routing and Salesforce, Jira and HubSpot integrations. Workflows grow from 150 basic on Standard to 500 advanced on Plus and unlimited on Pro, which also brings unlimited SLA policies, SSO and HIPAA support.

Its AI Answers add-on answers customer questions from your Docs at $0.75 per resolution. That is cheaper per resolution than Aftersales, and a good choice when most of your email is how-to questions. Aftersales fits better when the email needs an action taken, such as a refund or an order change, or when phone and WhatsApp should share the queue. See the Help Scout alternative page and Help Scout vs Front.

Best for
Small and mid-size support teams whose work is mostly email and who want a simple setup
Pricing
Free (5 users, 1 inbox, 1 Docs site). Standard $25, Plus $45, Pro $75 per user/month billed annually. Inboxes: 2 on Standard, 5 on Plus, 10 on Pro; extra inboxes $10/month annual. AI Answers $0.75 per resolution, 3-month free trial.
Strengths
AI drafts and summaries in the plan; customer-friendly email formatting; generous free plan; clear workflow limits per plan.
Watch out for
Inbox caps per plan; round-robin needs Plus; AI Answers is built for questions rather than refunds or order actions.

3. Front: best for teams that manage client relationships over email

Front treats email as shared team work: assign a message, comment on it internally, and co-write the reply. It is used by support, but also by account management, logistics and sales teams who need the same collaboration on client email. Rules are capped on the lower plans (10 on Starter, 20 on Professional, unlimited on Enterprise), so busy routing setups usually land on Professional or above.

AI is sold separately below Enterprise: Autopilot starts at $0.05 per conversation, Copilot is $20 per seat, Smart QA $20 per seat and Smart CSAT $10 per seat, with Copilot, Smart QA and Smart CSAT included on Enterprise. Pick Front over Aftersales when email is shared across departments and support is only one of them. See the Front alternative page.

Best for
Account management, operations and multi-department teams handling client email together
Pricing
Starter $25 (up to 10 seats), Professional $65 (up to 50 seats), Enterprise $105 per seat/month billed annually. Autopilot from $0.05 per conversation; Copilot $20/seat; Smart QA $20/seat; Smart CSAT $10/seat.
Strengths
Strong collaboration on email; works across departments; low per-conversation price on Autopilot.
Watch out for
Seat caps on Starter and Professional; rule caps on lower plans; AI add-ons stack up below Enterprise.

4. Hiver: best for support teams that want to stay in Gmail

Hiver turns Gmail into a help desk: shared mailboxes, assignment, notes, rule-based automations and analytics appear inside the Gmail interface the team already uses, and Hiver also offers Hiver Omni as a standalone omnichannel app. Its AI Agents and Copilot are included in the seat price rather than metered per resolution, which makes cost easy to predict. SLAs, CSAT and API access arrive on Pro.

For a Google Workspace team that will not move to a separate app, Hiver is a better fit than Aftersales. If you need an AI agent that takes order and refund actions with spend limits, or phone in the same queue on a mid-tier plan, compare carefully. See the Hiver alternative page.

Best for
Google Workspace support teams that want help desk features inside Gmail
Pricing
Growth $25, Pro $55, Elite $85 per user/month billed annually (reported as $35, $65 and $95 monthly). AI Agents and Copilot included. We could not load Hiver's pricing page directly in October 2026; confirm on hiverhq.com.
Strengths
Works inside Gmail; AI included in the seat; easy for teams that already live in email.
Watch out for
SLAs need Pro; depends on Google Workspace for the Gmail version; seats are reported to be sold in blocks rather than one at a time.

5. Zendesk: best for large support orgs that need deep email ticketing

Zendesk started as email ticketing, and its triggers, automations, SLA policies and views remain some of the most configurable on this list. Every plan now includes AI agents for email and messaging. Automated resolutions are billed on top: 5 per agent per month are included on Team plans and 10 on Professional, then $2.00 each pay-as-you-go or less on a commitment. Copilot, which adds auto assist and intelligent triage, is $50 per agent per month on Professional and higher.

Zendesk is a better choice than Aftersales for very large teams that need a long list of marketplace apps and admins who want to configure every routing rule themselves. For smaller teams the seat price plus Copilot plus resolutions adds up quickly; compare the totals in our Zendesk pricing breakdown. Aftersales Agent can also run inside an existing Zendesk, with no seats and no migration.

Best for
Large, multi-brand support organizations with complex email routing
Pricing
Support Team $19, Suite Team $55, Suite Professional $115 per agent/month billed annually. Automated resolutions: 5/agent/month included on Team, 10 on Professional, then $2.00 each pay-as-you-go. Copilot $50/agent/month (Professional+).
Strengths
Very configurable triggers and SLAs; AI agents for email on every plan; large app marketplace.
Watch out for
AI resolutions and Copilot are extra; Support Team is email-and-ticketing only, with more features on Suite plans.

6. Freshdesk: best low seat price for full email ticketing

Freshdesk covers the email basics on every paid plan: automations, plus round-robin and load-balanced assignment, which many tools hold back for higher tiers. Skill-based assignment is on Enterprise. Freddy AI Copilot, for drafting and agent assistance, is $29 per agent per month on Pro and Enterprise, and the Freddy AI Agent comes with 500 sessions on all plans, then $49 per 100 sessions.

Freshdesk suits teams that want classic ticketing with routing on day one at a low seat price. There is no free plan on the current pricing page, only a 14-day trial. Session-based AI billing is worth modelling against your volume; our Freshdesk pricing guide shows how.

Best for
Cost-conscious teams that want ticketing with routing on the entry plan
Pricing
Growth $19, Pro $55, Enterprise $89 per agent/month billed annually. Freddy AI Copilot $29/agent/month (Pro+). Freddy AI Agent: 500 sessions included, then $49 per 100 sessions. 14-day trial.
Strengths
Round-robin and load balancing on every plan; low entry price; mature ticketing.
Watch out for
Copilot needs Pro; session-based AI pricing; no free plan listed.

7. Gorgias: best for Shopify brands that price by ticket, not seat

Gorgias is a helpdesk built for ecommerce. Email sits alongside chat, SMS, voice and social, and order data from Shopify (plus BigCommerce, Magento and WooCommerce) shows next to each ticket. Pricing is by tickets per month rather than per agent, so the whole team can log in. AI Agent is billed per automated interaction: $0.90 on annual plans or $1.00 monthly, with overages at $1.50.

For a store whose email is mostly order questions and whose team is large relative to volume, the ticket model can work out cheaper than seats. Aftersales prices by seat plus $0.99 per resolution and suits teams that also sell outside Shopify or need phone transfers on a mid-tier plan. Compare in our Gorgias pricing guide.

Best for
Ecommerce brands, especially on Shopify, with large teams relative to ticket volume
Pricing
Helpdesk priced by tickets: Starter $10/month (50 tickets, monthly only), Basic $50, Pro $300, Advanced $750 per month billed annually (300, 2,000 and 5,000 tickets). AI Agent $0.90 per automated interaction on annual plans.
Strengths
No per-seat pricing; deep ecommerce order data in tickets; email, chat, SMS, voice and social in one place.
Watch out for
Cost scales with ticket volume, so spikes in email raise the bill; less suited to non-ecommerce support.

8. eDesk: best for Amazon, eBay and Walmart sellers

eDesk pulls marketplace messages from Amazon, eBay, Walmart and others into one helpdesk with email, social and D2C storefronts such as Shopify, and puts the order next to each message. For marketplace sellers this matters because buyer emails often arrive through the marketplace's own messaging system with its own response rules. eDesk includes Smart Reply drafting, routing, sentiment analysis and an AI Agent billed at $0.99 per outcome.

If most of your customer email comes through marketplaces, eDesk is a better fit than Aftersales, which connects to Shopify but not to marketplace messaging. For a DTC brand selling mainly on its own site, the two are priced similarly for AI and differ mainly on seats and channels. See the eDesk alternative page.

Best for
Multichannel sellers whose customer email arrives through Amazon, eBay, Walmart and other marketplaces
Pricing
Essential $39, Growth $89, Professional $119 per user/month billed annually ($49, $115, $149 monthly). Enterprise custom. AI Agent $0.99 per outcome on every plan.
Strengths
Marketplace messaging in one queue; order context per message; per-outcome AI billing.
Watch out for
Higher seat price than general tools; Essential covers 1 store or marketplace, Growth 5; built for ecommerce sellers only.

9. Zoho Desk: best for companies already running on Zoho

Zoho Desk is a full ticketing system with email at its core, assignment and workflow rules, and a free edition for up to three users with basic email ticketing. Zia, Zoho's AI, adds generative, predictive and analytical features on the Professional and Enterprise plans, and Enterprise adds skill-based assignment.

It is a sensible choice when your CRM, finance and other tools are already Zoho, so tickets and customer records stay in one family. Zoho shows prices by region, so check the page in your own currency. See the Zoho Desk alternative page.

Best for
Teams already using Zoho CRM and other Zoho apps
Pricing
Free edition (3 users). Express, Standard, Professional and Enterprise plans per user/month; prices shown by region. Zia AI on Professional and Enterprise.
Strengths
Free tier; tight fit with Zoho apps; skill-based routing on Enterprise.
Watch out for
AI only on higher plans; regional pricing makes comparison harder; less focused on AI resolution.

10. Helpwise: best budget email management for small teams

Helpwise is a shared inbox for small teams that want support email organized without help desk complexity. Standard covers 2 to 10 users with 3 shared inboxes, notes, @mentions, collision detection and shared drafts. Premium adds 10 inboxes, 25 automation rules, WhatsApp, SMS and calling, CSAT and AI Assist and Summarize. Advanced adds 30 inboxes, unlimited rules, SLA rules, round-robin and load balancing, and AI auto-prioritization.

It is the cheapest tool here for a small team that needs shared mailboxes and some rules. It does not list an AI agent that resolves emails, so teams that want AI to answer customers will need another tool.

Best for
Small teams that want organized shared mailboxes at a low price
Pricing
Standard $12, Premium $23, Advanced $39 per user/month billed annually ($15, $29, $49 monthly). Enterprise on request. 7-day trial.
Strengths
Low price; collision detection and shared drafts from the entry plan; SLA rules on Advanced.
Watch out for
Standard is capped at 10 users and 3 rules; no AI agent listed; minimum 2 users per plan.

Which email rules and AI settings should a support team set up first?

A good email setup is mostly rules, and the same handful work in every tool on this list. Start with these before you switch on AI:

  1. Route by mailbox and intent. billing@ to the billing view, returns@ to the returns view, and keyword rules (refund, cancel, invoice) to tag the rest.
  2. Prioritize by customer. Use plan, tier or region to raise priority or set a tighter SLA. In Aftersales, company metadata is available as filters and columns for exactly this.
  3. Set two SLA timers: first reply and next reply, with a warning before the breach, not after.
  4. Auto-close the noise: out-of-office replies, delivery receipts and "thank you" emails should not sit in the queue.
  5. Escalate on risk words. Legal threats, chargebacks and complaints go to a senior person, whatever else the rules say.

Then add AI in two steps. Use AI drafting on every email first, so the team checks how good the drafts are on your real email. Then let an AI agent answer one email type on its own, such as order status, and widen it as the resolution rate holds. Our resolution rate guide explains how to measure it. If you only want AI to write replies, see the best AI email responders.

How much does email management software cost for a 10-person team?

For a 10-person team handling 3,000 customer emails a month, seat costs on annual billing run from about $190 to $750 a month before AI. Example, using list prices, excluding taxes and add-ons not named:

  • Helpwise Advanced (SLA rules): 10 x $39 = $390/month.
  • Freshdesk Growth: 10 x $19 = $190/month, before Freddy AI sessions beyond the 500 included.
  • Help Scout Plus (round-robin, unlimited AI drafts): 10 x $45 = $450/month, plus AI Answers at $0.75 per resolution.
  • Hiver Pro (SLAs): 10 x $55 = $550/month, AI included.
  • Zendesk Suite Team: 10 x $55 = $550/month, with 50 automated resolutions included, then $2.00 each.
  • Gorgias: Pro includes 2,000 tickets for $300/month, so 3,000 emails means overages or Advanced at $750/month, all billed annually; AI Agent extra.
  • Aftersales Growth (round-robin, workflows, phone): 10 x $69 = $690/month, plus Agent at $0.99 per resolution.

The AI line often matters more than seats. If an AI agent resolves 40% of those 3,000 emails, that is 1,200 resolutions: $1,188 a month on Aftersales or eDesk, $900 on Help Scout AI Answers, and about $2,300 on Zendesk pay-as-you-go (1,150 resolutions beyond the 50 included, at $2.00). The 40% is an assumption for this example, not a forecast. What decides the value is whether those resolutions replace human time, and whether the AI can take the action the email asks for or only answer a question.

Frequently asked questions

What is the best email management software for customer service?
For a support team that wants AI to answer and act on routine emails, Aftersales. Help Scout suits small email-first teams, Front suits client email shared across departments, Hiver suits teams that stay in Gmail, and eDesk suits marketplace sellers. Zendesk and Freshdesk suit teams that want classic ticketing.
How do I manage a high volume of customer service emails?
Move the support address into a tool with assignment and collision detection, then add rules that route by mailbox and keyword, prioritize by customer tier and set first-reply SLAs. Use AI drafts to speed up replies, and let an AI agent answer one routine email type on its own before widening it.
Can AI answer customer service emails automatically?
Yes. Aftersales, Help Scout, Front, Zendesk, Freshdesk, Gorgias and eDesk all sell AI that answers emails without a person, billed per resolution, conversation, session or outcome. They differ on whether the AI can take actions such as refunds or order changes, or only answer questions from your help center.
What is the difference between a shared mailbox and email management software?
A shared mailbox, such as an Outlook shared mailbox or a shared Gmail login, lets several people read one address but does not track who owns each email. Email management software adds assignment, statuses, internal notes, rules, SLAs, reporting and AI on top of that address.
Is there free email management software for customer service?
Yes, with limits. Help Scout's free plan covers 5 users and 1 inbox, Zoho Desk's free edition covers 3 users, and Aftersales' free plan includes 1 seat with live chat and email plus the first 50 Agent resolutions. Most other tools offer a free trial instead.
How much does AI for support email cost?
It depends on the billing model. Checked October 2026: Aftersales charges $0.99 per resolution, Help Scout AI Answers $0.75 per resolution, eDesk $0.99 per outcome, Gorgias $0.90 per automated interaction on annual plans, and Zendesk $2.00 per automated resolution pay-as-you-go. Hiver includes AI in the seat price.
